Full Job Description

Position Summary:

Our mental health clinic is seeking a dedicated, compassionate, and organized individual to join our team. This role is essential in providing excellent support for those we serve. You will work directly with patients/clients and also assist with administrative responsibilities - facilitating communication, managing logistics, and supporting optimal clinical outcomes.
The Patient Care Coordinator and Billing Specialist is a dual-role position responsible for ensuring seamless patient experience and accurate revenue cycle management. This individual serves as a primary point of contact for patients while also managing insurance verification, claims submission, and payment processing. The role requires strong organizational skills, attention to detail, and the ability to navigate both clinical coordination and administrative billing workflows.

Key Responsibilities:

Patient Care Coordination Duties:

Serve as the primary point of contact for patients via phone, email, and in-person communication
Schedule, confirm, and manage patient appointments
Coordinate new patient intake, including collection of demographic and insurance information
Facilitate communication between patients and providers
Assist with care coordination, including referrals, follow-ups, and continuity of care
Ensure timely completion of patient documentation and forms
Maintain accurate and up-to-date patient records in the EHR
Provide patient education regarding appointments, policies, and basic treatment processes

Billing and Revenue Cycle Duties:

Verify insurance eligibility and benefits prior to patient visits
Obtain prior authorizations when required
Accurately enter and review charges, CPT codes, and ICD-10 diagnoses
Submit insurance claims and ensure timely processing
Monitor claim status, follow up on denials, and resolve billing issues
Post payments (insurance and patient) and reconcile accounts
Manage patient billing inquiries and collect outstanding balances
Ensure compliance with billing regulations and documentation standards

Qualifications:

High school diploma or equivalent required; associate or bachelor’s degree preferred
Minimum 1–2 years of experience in medical office coordination and/or billing
Knowledge of medical terminology, CPT, ICD-10 coding, and insurance processes
Experience with EHR systems and billing software
Strong communication, organizational, and multitasking skills
Attention to detail and ability to maintain confidentiality (HIPAA compliance)

Preferred Qualifications:

Experience in psychiatry or behavioral health setting
Familiarity with telehealth workflows and billing
Certification in medical billing/coding (e.g., CPC)
