In this vital role, you will serve as the backbone of our office operations, ensuring smooth day-to-day functions and providing exceptional support to staff and clients alike.

This paid position is a PERMANENT PART-TIME POSITION. The position offers an exciting opportunity to develop your administrative skills while obtaining a CERTIFICATE OF SPECIALIZATION in the field. You will contribute to a thriving organization committed to excellence.

Responsibilities

Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette.
Handle comprehensive office management tasks such as filing, data entry, and maintaining organized records using spreadsheets and document management software.
Utilize Microsoft Office and Google Workspace productivity tools for word processing, creating reports, and preparing correspondence.
Support bookkeeping activities with QuickBooks and assist with basic financial recordkeeping and invoicing.
Coordinate calendar management, schedule appointments, and organize meetings for staff and clients efficiently.
Provide exceptional customer service by responding promptly to inquiries via phone or email, ensuring positive client communication.
Assist with clerical duties including proofreading documents, managing office supplies, and maintaining a tidy front desk environment.
Demonstrate technical proficiency in office equipment, computer literacy, and familiarity with office management software to enhance overall productivity.

Qualifications

Proven experience in an administrative or clerical role with strong office management skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Docs, Sheets), and data entry tools.
Familiarity with QuickBooks or similar bookkeeping software is highly desirable.
Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
Strong communication skills, including phone communication and client interaction; bilingual abilities are a plus.
Experience handling multi-line phone systems and demonstrating professional phone etiquette.
Demonstrated computer literacy and technical proficiency across various software applications.
Previous experience as a front desk receptionist or personal assistant is advantageous; medical or dental receptionist experience is a bonus.
Ability to manage time efficiently while maintaining attention to detail; proofreading skills are essential for accuracy.
