About the Role
The Misty SOLD Team is seeking an experienced Senior Transaction Manager to lead our residential real estate transaction department.
This is not a traditional transaction coordinator position.
We are looking for someone who takes ownership, builds systems, develops people, and continuously improves operations. You will oversee the entire transaction process from executed contract through closing while managing a team of virtual transaction coordinators and administrative staff.
Our goal is simple: agents should have complete confidence that every transaction is being managed accurately, proactively, and professionally.
This is a fully remote position.
Responsibilities:
Department Leadership
- Lead, coach, and develop a team of transaction coordinators and virtual assistants.
- Establish clear roles, priorities, and performance expectations.
- Delegate work based on skill level, workload, and capacity.
- Conduct regular quality reviews and coaching to improve performance.
- Hold team members accountable to established systems, timelines, and service standards.
- Build a culture of ownership, continuous improvement, and proactive communication.
Transaction Management
- Oversee residential transactions from executed contract through closing.
- Ensure all files are accurate, complete, compliant, and progressing according to deadlines.
- Review files before critical milestones to identify and resolve issues before they impact clients or agents.
- Coordinate communication with agents, lenders, title companies, attorneys, inspectors, appraisers, and clients.
- Ensure every transaction delivers an exceptional client and agent experience.
Operations & Systems
- Own the transaction department's operating procedures.
- Develop and maintain standard operating procedures, checklists, templates, and training documentation.
- Ensure our CRM and transaction management system remain the single source of truth.
- Improve workflows through automation, technology, and process refinement.
- Identify recurring issues and implement permanent solutions rather than temporary fixes.
- Monitor department performance and recommend operational improvements.
Team Management
- Manage daily workflow across the transaction department.
- Prioritize work based on closing deadlines and client needs.
- Train new team members and continuously develop existing staff.
- Monitor workload distribution and adjust resources as needed.
- Build a department that can operate consistently without constant executive intervention.
Qualifications
- Minimum 5 years of residential real estate transaction management experience.
- Previous leadership or management experience overseeing administrative staff, transaction coordinators, or virtual assistants.
- Strong understanding of residential real estate contracts, title, escrow, financing, inspections, appraisals, and closing processes.
- Excellent organizational and project management skills.
- Ability to successfully manage multiple transactions simultaneously.
- Strong written and verbal communication skills.
- High attention to detail and commitment to accuracy.
- Experience with CRM and transaction management platforms (Brivity experience is a plus).
- Proficiency with Microsoft Office and Google Workspace.
- Comfortable leading a fully remote team.
The Ideal Candidate
The ideal candidate naturally thinks beyond today's task.
They anticipate problems before others recognize them, communicate proactively, improve systems rather than work around them, and develop people to perform at a higher level.
They don't simply process transactions—they build an operation that consistently delivers excellence.
They are equally comfortable:
- Leading people
- Building systems
- Solving problems
- Managing details
- Driving accountability
- Improving efficiency
What Success Looks Like
Success in this role means:
- Agents trust the transaction department completely.
- Team members understand exactly what they own.
- Communication is proactive instead of reactive.
- Files are consistently accurate and complete.
- Problems are identified early and resolved quickly.
- Standard operating procedures are documented and followed.
- Virtual assistants are effectively trained, coached, and held accountable.
- The department continuously improves through better systems and smarter processes.
Why Join Our Team
This is an opportunity to build something—not simply maintain it.
We're looking for a leader who enjoys creating order from complexity, raising standards, developing people, and making an immediate impact on the client and agent experience.
If you're excited about leading a high-performing transaction department and continuously improving the way work gets done, we'd love to hear from you.
