Full Job Description

Overview

We are seeking a highly organized and detail-oriented Samples & Finished Coordinator fluent in both English and Spanish to join our dynamic manufacturing team. This role is essential in managing requests for finish samples from customers, architects, designers.

This person will be responsible for understanding each request, identifying and processing the closest available finish match, communicating with customers and architects about the finishes and their suitability for projects, and coordinating the production of samples for both small and large-scale projects.

The ideal candidate is detail-oriented, comfortable communicating with customers and architects, organized with records and follow-ups, and able to coordinate multiple sample requests at the same time.

Key Responsibilities

Receive and review sample requests from customers, architects, designers, and internal teams.
Understand the requested color, texture, material, finish, and project requirements.
Research and identify the closest available finish match.
Communicate with customers and architects regarding finish options, matching expectations, application considerations, and warranties associated with the finishes being proposed.
Explain the characteristics and limitations of finish matches clearly and professionally.
Coordinate sample development for residential, commercial, architectural, and other projects, regardless of project size.
Produce and coordinate physical samples using an office press machine and computer-based tools.
Communicate by email and participate in remote meetings with customers, architects, designers, and internal personnel.
Coordinate internally with production and other departments to ensure requested samples are prepared correctly and on time.
Track sample requests, project information, customer communications, production status, and completed samples.
Maintain accurate digital and physical records of all sample requests and related correspondence.
Follow up on outstanding requests and communicate status updates to customers and architects.
Help maintain an organized sample library and reference system.
Ensure that sample requests are processed according to company procedures and quality standards.
Manage multiple requests and deadlines while maintaining attention to detail.

Qualifications & Skills

Strong organizational and administrative skills.
Excellent written and verbal communication skills.
Comfortable speaking with customers, architects, designers, and production personnel.
Good computer skills, including email, document management, and basic office software.
Ability to learn and operate an office press machine and other sample-production equipment.
Strong attention to detail, particularly when comparing colors, textures, finishes, and specifications.
Ability to understand instructions and translate customer requests into clear internal production requests.
Ability to participate professionally in virtual meetings.
Strong follow-up and record-keeping skills.
Ability to manage multiple projects and priorities simultaneously.
Experience with architectural finishes, coatings, materials, manufacturing, samples, or a related industry is a plus.

Ideal Candidate

The ideal candidate is a detail-oriented problem solver who enjoys working with people and products. They should be comfortable moving between customer communication, computer work, physical sample preparation, and internal production coordination.

Experience working with architects, designers, contractors, manufacturers, finishes, coatings, or construction-related prod.

Pay: $25.00 - $27.00 per hour
