Job Title: Assistant Director of Intake

Location: Boca Raton, FL (on-site)

As we continue expanding, we are strengthening our intake operations to ensure every client receives the highest level of care and every case begins on the right foot.

Position Summary

We are seeking an experienced, confident, and emotionally intelligent Assistant Director of Intake who will partner closely with the Director of Intake to strengthen intake operations, mentor, and support intake teams, and help scale a rapidly growing personal injury practice. This role plays a critical part in elevating the client experience, increasing team performance, and ensuring consistency and excellence across all firm locations.

The ideal candidate brings prior legal intake experience—personal injury strongly preferred—and has experience leading, mentoring, or supporting intake teams in a high-volume, high-stakes environment. They understand how to manage people, processes, and emotions with professionalism and care. This individual brings calm, clarity, and structure, even in emotionally charged situations, and leads through influence, trust, and example rather than authority.

This role is well suited for someone who is proactive, highly organized, and energized by building structure, improving workflows, and developing people. The successful candidate is open-minded, adaptable, and not afraid of change, thriving in a fast-paced environment where intake operations continue to evolve. Key Responsibilities

Leadership, Mentorship & Team Support

Actively support and help manage intake teams across multiple offices.
Lead by example, bringing calm, clarity, and consistency to daily operations and team interactions.
Help reinforce accountability, professionalism, and service standards while maintaining a supportive, growth-oriented environment.
Assist with onboarding, training reinforcement, and ongoing development of intake team members.

Training, Documentation & Continuous Improvement

Develop, maintain, and continuously improve training materials, SOPs, checklists, and video libraries (Litify, AssureSign, SharePoint).
Take ownership of most intake training and cross-training initiatives, working closely with the Director for alignment and final sign-off.
Maintain an open-minded and adaptable approach, remaining willing to learn new systems, processes, and workflows as the department evolves.
Embrace and support process changes, technology updates, and operational improvements without resistance.

Intake Operations & Quality Control

Serve as a hands-on backup for intake and onboarding during high-volume periods or staff absences.
Monitor intake workflows to identify bottlenecks, errors, or breakdowns and proactively propose solutions.
Conduct quality control audits of intake files to ensure accuracy, compliance, and consistency.
Work collaboratively with the Director to prevent issues before they escalate to attorneys or leadership.

Reporting, Metrics & Accountability

Track, extract, and report key intake performance metrics.
Assist with team check-ins, feedback loops, and follow-ups based on performance data.
Support a culture of continuous improvement, accountability, and transparency.

Administrative & Leadership Support

Support the Director of Intake with administrative and operational initiatives.
Assist with procedural and operational needs.
Serve as a trusted point of continuity when the Director is out of the office.

Qualifications & Skills Required

Associate or bachelor’s degree (or equivalent experience).
Comfortable working with case-management systems (e.g., Litify) or CRM-type platforms—quick to learn new tools.
Strong organizational skills with the ability to prioritize, multitask, and follow through independently.
Excellent written and verbal communication skills; comfortable training peers and guiding processes.
A proactive mindset: identifies improvements, proposes systems, and helps scale operations.
Team-oriented and flexible: the ability to step in when needed, collaborate across offices and help build consistency firm-wide.

Strongly Preferred

3-5+ years of legal intake experience (personal injury strongly preferred).
2+ years in supervisory capacity leading, managing, or acting as a senior/lead intake team member.
Experience mentoring, coaching, or training intake staff.
Familiarity with personal injury workflows, case screening, and onboarding standards.
Bilingual; fluent in English & Spanish
