Full Job Description

Position Overview

We are seeking a detail-oriented and organized Accounts Receivable & Accounts Payable Coordinator to join our growing team. This role is responsible for managing daily billing, invoicing, accounts payable, accounts receivable, warranty processing, and administrative support functions. The ideal candidate will possess strong accounting and customer service skills, thrive in a fast-paced environment, and demonstrate exceptional attention to detail.

Location Notice:
This position will initially be based at our current facility located at 1228 Brighton Road, Pittsburgh, PA 15233 for onboarding and training. Upon completion of our planned facility relocation in October, the position will transition to our new headquarters at 640 Alpha Drive, Pittsburgh, PA 15238.

Key ResponsibilitiesAccounts Payable (AP)

Process vendor invoices accurately and efficiently.
Verify invoice details and ensure timely payment processing.
Reconcile vendor statements and investigate discrepancies.
Prepare and process payment runs, including checks, ACH payments, and wire transfers.
Maintain accurate and organized accounts payable records.
Communicate with vendors regarding payment status and inquiries.

Accounts Receivable (AR)

Generate and distribute customer invoices.
Monitor customer accounts and follow up on past-due balances.
Apply customer payments and reconcile accounts receivable records.
Prepare aging reports and assist with collection activities.
Maintain accurate documentation of customer transactions and communications.

Additional Responsibilities

Process customer billing and invoicing.
Manage warranty claims and related documentation.
Perform filing and general administrative duties.
Assist with accounting and office support tasks as needed.

Qualifications

Proficiency in QuickBooks and Microsoft Excel required.
Strong typing and data entry skills.
Excellent verbal and written communication skills.
Strong organizational and multitasking abilities.
High attention to detail and accuracy.
Ability to work independently and collaboratively within a team environment.
Previous accounting, bookkeeping, or office administration experience preferred.
