Job Summary
We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will serve as the backbone of our office operations, ensuring smooth daily functions and providing exceptional support to staff and clients alike. Duties

Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette.
Operate multi-line phone systems, handle incoming calls, and route messages efficiently.
Maintain organized filing systems, including digital files using Google Workspace and Microsoft Office tools, ensuring quick retrieval of documents.
Perform data entry and bookkeeping tasks using accounting software to support financial accuracy.
Assist with calendar management, scheduling appointments, meetings, and coordinating events for staff and executives.
Provide excellent customer service by responding promptly to inquiries via phone, email, or in person.
Support office management activities such as ordering supplies, maintaining office equipment, and overseeing general administrative functions.
Proofread documents for accuracy and clarity while ensuring all correspondence aligns with company standards.

Qualifications

Proven experience in an administrative or clerical role within an office environment.
Strong computer skills including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry platforms.
Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently.
Bilingual abilities are highly desirable to support diverse client needs.
Experience with office management tasks such as filing, calendar management, and office supply procurement preferred.
Knowledge of QuickBooks or bookkeeping experience is a plus.
Exceptional phone etiquette with the ability to handle multi-line phone systems confidently.
Previous experience in customer service or medical/dental receptionist roles is advantageous.
