Tax Client Service Coordinator
Job Summary
The Tax Client Service Coordinator plays a vital role in delivering high-quality client experience within the firm’s Tax and Business Services division. This position combines client service, workflow coordination, tax operations support, and cross-functional communication to help ensure an organized, efficient, and professional engagement process for individuals, businesses, trusts, estates, and investment clients.
This individual serves as a key operational liaison between clients, tax professionals, investment personnel, operations staff, and firm leadership, helping support seamless communication, workflow continuity, and coordinated client service delivery. The ideal candidate is proactive, highly organized, detail oriented, technologically capable, and committed to delivering exceptional service in a fast-paced professional environment.

Duties and Responsibilities
· Client Service and Relationship Support.
i. Deliver a professional, responsive, and client focused experience throughout all phases of the tax engagement process.
ii. Coordinate client communications, including appointment scheduling, engagement letters, document requests, tax organizers, and signature collection.
iii. Professionally greet clients, answer incoming calls, and assist with front-office coordination during tax season and throughout the year.
iv. Maintain consistent follow up with clients regarding outstanding documentation, filing requirements, and workflow status updates.
· Tax Operations & Workflow Coordination
i. Scan, organize, maintain, and electronically manage client tax documents, financial records, and supporting documentation in accordance with firm standards.
ii. Assemble, process, e-file, track, and deliver tax returns and related filings in accordance with internal procedures and regulatory requirements.
iii. Assist with workflow management, deadline tracking, return status monitoring, and operational reporting.
iv. Support workflow efficiency initiatives by helping monitor metrics such as turnaround times, document completion status, return volume, and client responsiveness.
v. Maintain accurate client records, filing statuses, and internal workflow documentation.
· Team Collaboration & Operational Support
i. Serve as a liaison between the Tax, Investment, and Operations Teams to support seamless client communication and coordinated service delivery.
ii. Collaborate effectively with tax preparers, advisors, administrative personnel, and firm leadership to support overall operational efficiency.
iii. Cross-train with and provide backup support for Tax Service Associate responsibilities and other operational functions as needed.
iv. Assist with special projects, process improvements, administrative initiatives, and additional client service responsibilities as assigned.
· Professional Development
i. Actively pursue continued professional growth and technical development within the tax and financial services industry.
ii. Begin and actively pursue Becker Enrolled Agent Level 1 certification within the first year of employment.
· Qualifications
i. Associate or bachelor’s degree preferred.
ii. Prior experience within financial services, tax administration, public accounting, wealth management, or professional services environments preferred.
iii. Strong organizational, prioritization, and time management skills with exceptional attention to detail.
iv. Excellent written, verbal, and interpersonal communication abilities.
v. Proficiency in Microsoft Office Suite and the ability to quickly learn tax software, workflow systems, CRM platforms, and secure document management applications.
vi. Ability to manage multiple priorities, adapt to changing deadlines, and maintain professionalism under pressure.
vii. Demonstrated discretion, reliability, professionalism, and commitment to client service excellence.
viii. Strong team orientation with the ability to collaborate effectively across departments.
· Preferred Qualifications
i. Previous experience in a CPA firm or tax preparation office strongly preferred.
ii. Familiarity with tax workflow systems, secure client portals, CRM platforms, and electronic document management systems is a plus.
iii. Interest in long-term career development within tax, accounting, financial services, or advisory operations.
Job Type: Full-time
Pay: $60,000.00 - $70,000.00 per year
