ESSENTIAL DUTIES:

The Payroll Specialist is responsible for managing and processing the company’s payroll functions,

ensuring timely and accurate compensation for all employees. This role involves maintaining payroll

records, complying with applicable laws and regulations, and addressing employee inquiries regarding

payroll matters.

The preceding duties are examples of the types of work performed by employees assigned to this job

classification. Management reserves the right to add, modify, change or rescind work assignments and to

make reasonable accommodations as needed.

To perform this job successfully, an individual must be able to perform each essential function

satisfactorily. The requirements listed below are representative of the knowledge, skills and abilities

required. Reasonable accommodations may be made to enable individuals with disabilities to perform the

essential duties. The following are the necessary duties to be performed:

● Reports to H.R. Manager

● Manages all aspects of payroll including: collection of data, verifying accuracy of information

entered into the computer system, and transmitting information to and verifying reports from

Payroll Company.

● Responsible for processing payroll for all employees (Staff, Consumers, Temp Workers), ensuring

all hours worked and deductions are accurately recorded and ensuring accuracy and compliance

with company policies and applicable laws.

● Maintain and update employee payroll records, including new hires, terminations, and changes in

pay rates or deductions.

● Handle payroll inquiries from employees regarding paychecks, deductions, and related issues.

● Calculate wages, deductions, bonuses, and overtime to ensure correct payroll calculations.

● Prepare and distribute payroll reports, tax filings, and year-end statements (e.g., W-2s).

● Respond to employee inquiries regarding payroll, benefits, and timekeeping systems.

● Collaborate with HR to ensure accurate employee classification and compliance with labor laws.

● Assist in the implementation of payroll systems and software updates.

● Stay current on payroll regulations and best practices to ensure compliance.

● Perform audits and reconciliations of payroll data to resolve discrepancies.

● Audit payroll data for accuracy and resolve discrepancies in a timely manner.

● Responsible for the preparation and processing of biweekly payroll for employees; reviews and

ensures accuracy of approved time sheets; tracks and deducts all garnishments and other special

payroll deductions.

● Responsible for the coordination efforts between payroll, human resources and other

departments to ensure proper flow and maintenance of employee data (including

preparation/distribution of detailed reports, e.g. labor, remote work, overtime, ensuring the

suspension of benefits and vacation accrual for staff on LOA, head counts, garnishments, health

benefits, and retirement contribution reports)

● Verification of accuracy of payroll reports, vacation accruals, sick time, and overtime payments.

● Handles the administration of the electronic timekeeping system.

● Sets up each new employee within 1 day of information submission, valid deductions for each Employee's benefits, and adherence to FLSA; monitor submissions of approved time sheets, ensure valid data transfers to/from payroll service.

Establishes/maintains employee records; ensures that employee changes are entered correctly and made on a timely basis.

● Distributes payroll checks.

● Ensures timely completion of year-end EEOC reporting.

● Prepares and submits monthly reports, including Overtime, Monday/Friday Call-Outs, Lunch

Violations, and payroll discrepancies.

● Follow up with managers and/or staff to resolve discrepancies.

ADDITIONAL DUTIES:

● Performs other duties as assigned.

● Works independently and as a team.

REQUIREMENTS:

Associates Degree in Accounting or Finance. 3 to 5 years of payroll experience required. Strong

understanding of payroll regulations and compliance requirements. Excellent attention to detail and

organizational skills. Effective communication skills and the ability to work collaboratively.Proficient in

payroll processing software, Microsoft Office Suite, particularly Excel.

SKILLS, KNOWLEDGE AND ABILITIES

Ability to read and interpret documents such as labor laws. Ability to write reports and correspondence.

Ability to speak effectively before employees of an organization. Ability to calculate figures and amounts

such as commissions, percentages, basic math skills. Ability to apply concepts of basic algebra and

geometry.Ability to apply logic to carry out instructions furnished in written, oral, or diagram form. Ability

to deal with problems involving several concrete variables in standardized situations. Clean driving

record.

WORKING CONDITIONS AND PHYSICAL REQUIREMENTS:

Office environment. Works well under pressure of deadlines. Specific vision abilities required by this job

include close vision, color vision, peripheral vision and depth perception. Duties and responsibilities

performed normally do require physical requirements including standing, walking, bending, squatting, and

carrying, pushing, pulling and occasional lifting of material up to 30 pounds. Ability to sit for extended

periods and perform repetitive tasks.

Pay: $22.00 - $25.00 per hour
