Full Job Description

Convention Services Coordinator
Riverside Convention Center
Pay: $25.00–$28.00 per hour
Full-Time | Non-Exempt

Do you love bringing details together, helping people and watching a great event come to life? The Riverside Convention Center is looking for an organized, energetic and guest-focused Convention Services Coordinator to join our team.

In this role, you’ll serve as the main connection between our clients and internal teams, helping ensure meetings, banquets and events are planned carefully and executed successfully. From the first planning conversation through the final event details, you’ll keep communication moving, solve problems and help create an experience that makes our clients want to come back.

What You’ll Do

Coordinate assigned events from planning through execution
Determine and communicate client and event needs in a timely and accurate manner
Prepare event documents, including Banquet Event Orders and room diagrams
Work closely with clients, Convention Services, Sales, Food & Beverage and Operations teams
Attend weekly event order meetings and communicate updates or revisions
Conduct site tours, tastings and pre- and post-event meetings
Coordinate menus and event arrangements while identifying opportunities to maximize revenue
Provide clients with cost estimates, collect required prepayments and review final invoices
Maintain accurate event details in our event management software
Answer and manage incoming calls, emails and client requests
Communicate professionally with clients, vendors and team members in person, by phone and electronically
Maintain knowledge of Riverside Convention Center services, approved vendors, contracts and event requirements
Assist with event-related permits, insurance requirements and applicable policies
Be present for first-time clients, large-scale events and other events as assigned
Troubleshoot concerns and help identify solutions when plans change—because in events, they sometimes do!

What We’re Looking For

Strong organization and attention to detail
Excellent written and verbal communication skills
A professional, friendly and solutions-focused approach
Ability to manage multiple events, priorities and deadlines
Confidence working directly with clients, vendors and internal departments
Ability to remain calm and adaptable in a fast-paced event environment
Strong computer skills and the ability to learn event management systems
Previous experience in hospitality, event coordination, convention services, catering or a related field is preferred
Flexibility to work evenings, weekends and holidays based on the event schedule
