Full Job Description

Position Summary

Chroma ATE Inc. is seeking a highly organized and results-driven Marketing Specialist to own trade show coordination, travel logistics, budget tracking, public relations activities, CRM administration, and day-to-day marketing operations. This position will partner closely with the Marketing Manager to execute a range of marketing initiatives, including event strategy and planning, lead generation and management, and campaign support. The ideal candidate is proactive, detail-oriented and comfortable managing confidential information and competing priorities in a fast-paced technology environment.

Key Responsibilities - 50% Marketing + 50% Travel & Administrative Support

Documentation & Compliance

Review and process NDAs and confidential documents, escalating risk areas if needed
Establish consistent documentation and record retention practices
Safeguard confidentiality of customer and company information, exercising sound judgment on sensitive matters

Travel & Visitor Coordination

Manage flights, hotels, transportation, and itineraries for domestic and international visitors, including teams visiting from overseas
Coordinate schedules and logistics for customer meetings, training events, and corporate visitor programs; anticipating conflicts and resolving them proactively

CRM & Lead Management

Manage trade show and marketing leads within NetSuite and Zoho CRM and other marketing databases
Import, update, clean, and maintain lead and contact records
Develop lead scoring, assignment logic and follow-up tracking processes in partnership with Sales depts.
Analyze and report on CRM data and marketing activity, surfacing insights and recommendations to the Marketing Manager
Support email marketing campaigns and customer database management

Public Relations & Marketing Support

Collaborate with Marketing Manager on press releases, advertising schedules, and publication deadlines.
Serve as a point of contact for industry media, partners, and vendors
Support social media content scheduling and marketing communications, ensuring brand consistency

Tradeshow & Event Coordination

Lead planning and execution of domestic and international trade shows, conferences, and events
Maintain relationships with event organizers, vendors, contractors, and service providers
Track event deadlines, registrations, shipping schedules, and logistics
Assist with booth preparation, promotional materials, giveaways, and event documentation

Marketing Operations & Budget Support

Track and manage budgets and expenses across travel, marketing and event activities
Process invoices, purchase requests, and vendor documentation
Maintain and audit organized records of contracts and marketing assets

Requirements

Bachelor’s degree in marketing, Business Administration, Communications, or equivalent practical experience
2-3+ years of experience coordinating marketing initiatives, managing travel logistics, planning and executing events/trade shows, and providing administrative support
Experience handling confidential business documents (e.g., NDAs) with discretion and sound judgement
Experience with utilizing CRM systems, preferably NetSuite and Zoho CRM, including reporting and data analysis
Experience managing trade show leads and customer databases
Strong proficiency with Microsoft Excel, Word, and PowerPoint
Excellent organizational and communication skills
Ability to manage multiple projects, deadlines, and stakeholders simultaneously

Preferred, not required

Graphic design experience using Adobe Creative Suite or Canva
Social media management and content strategy experience
Familiarity with marketing automation tools, email campaigns, and performance analytics
