Duties
- Coordinate scheduling and communication between clinical providers and patients to ensure timely appointments and follow-ups
- Assist in managing patient records, verifying insurance information, and ensuring documentation aligns with NCQA (National Committee for Quality Assurance) standards
- Support clinical staff by preparing necessary documentation, tracking patient progress, and facilitating care plan implementation
- Collaborate with managed care organizations to verify coverage details and streamline authorization processes for services
- Maintain comprehensive knowledge of medical terminology to accurately interpret clinical notes and communicate effectively with healthcare teams
- Monitor compliance with regulatory standards and assist in quality improvement initiatives aligned with NCQA guidelines
- Provide excellent customer service by addressing patient inquiries, resolving scheduling conflicts, and supporting overall clinic operations
Job Summary
The Clinical Provider Coordinator serves as the primary administrative and operational support resource for all licensed clinical providers throughout the organization, including physicians, nurse practitioners, physician assistants, dentists, optometrists, psychologists, licensed clinical social workers, and other healthcare professionals. This position coordinates provider schedules, meetings, onboarding activities, credentialing and privileging support, continuing education tracking, supervision documentation, and provider-related operational processes.
The Clinical Provider Coordinator acts as a liaison between providers, executive leadership, human resources, credentialing, compliance, and clinic operations to ensure efficient provider support, regulatory compliance, and continuity of patient care services. This position contributes to the organization's mission of delivering accessible, high-quality healthcare services to underserved populations.
Essential Functions
§ Serve as the primary point of contact for provider administrative and operational needs.
§ Coordinate provider schedules, clinic assignments, coverage arrangements, and time-off requests.
§ Maintain provider calendars and assist with scheduling provider meetings, trainings, and organizational events.
§ Support providers with day-to-day operational concerns and facilitate resolution of issues.
§ Coordinate communication between providers and leadership teams.
- Coordinate onboarding activities for new providers, including orientation scheduling and department introductions.
- Collaborate with Human Resources, Credentialing, IT, and Operations to ensure providers are prepared for their start date.
- Track completion of onboarding requirements and required documentation.
- Assist with provider offboarding processes and ensure completion of required administrative steps.
- Assist with provider credentialing and privileging processes.
- Maintain provider files and monitor expiration dates for licenses, certifications, DEA registrations, malpractice coverage, and other required credentials.
- Coordinate collection and submission of credentialing documentation.
- Support recredentialing and privileging renewal activities.
- Monitor Continuing Medical Education (CME), Continuing Dental Education (CDE), and other continuing education requirements.
- Track provider compliance with mandatory trainings and regulatory requirements.
- Coordinate provider participation in educational programs, conferences, and professional development activities.
- Maintain records of completed trainings and certifications.
- Coordinate provider meetings, medical staff meetings, peer review meetings, and committee activities.
- Prepare meeting agendas, materials, minutes, and follow-up action items.
- Maintain provider directories, contact lists, and organizational charts.
- Assist with documentation and reporting requirements related to provider governance activities.
- Track supervision agreements and documentation for nurse practitioners, physician assistants, associate clinical social workers, and other supervised providers.
- Monitor renewal dates and ensure compliance with applicable federal, state, and organizational requirements.
- Maintain accurate records related to provider supervision and oversight.
- Generate reports related to provider staffing, scheduling, onboarding, credentialing, and compliance activities.
- Maintain accurate provider records and databases.
- Support special projects and initiatives related to provider operations.
- Assist leadership with provider workforce planning and operational analysis.
- Foster positive relationships with providers and interdisciplinary teams.
- Serve as a liaison between providers and departments including Human Resources, Operations, Compliance, Quality, and Credentialing.
- Promote a culture of professionalism, collaboration, and patient-centered care.

Qualifications
§ Associate degree required.
§ Bachelor's degree in Healthcare Administration, Business Administration, Public Health, Human Resources, or related field preferred.
§ Minimum of three (3) years of administrative, healthcare operations, provider services, medical staff services, credentialing, or related experience required.
§ Experience in a Federally Qualified Health Center (FQHC), community health center, hospital, or healthcare organization preferred.
§ Experience supporting multiple healthcare providers and departments preferred.
Knowledge, Skills and Abilities
- Knowledge of healthcare operations, provider relations, and medical staff processes.
- Familiarity with credentialing, privileging, and provider compliance requirements.
- Understanding of FQHC regulations and healthcare compliance standards preferred.
- Strong organizational and project coordination skills.

- Strong attention to detail and accuracy.
- Proficiency in Microsoft Office applications and healthcare information systems.

Travel
§ Will be travelling to other clinic’s sites to work or attend meetings
Physical Requirements and Environmental Conditions
§ Pushing and pulling objects up to 25 lbs.
§ Frequent wrist, hand and finger dexterity to perform fine motor function without tremor.

Work Schedule
§ You will generally be scheduled to work each day Monday through Friday, with starting times each day varying between 8:00 a.m. and 9:00 a.m. and ending time between 5:00 p.m. and 6:00 p.m., as required to meet the operational needs of the company. There will be occasional Saturdays as needed.
§ You will need to travel to other clinic locations as needed for cross coverage support.
