We are seeking a Client Relationship & Experience Associate who is passionate about serving others, building meaningful relationships, and creating exceptional experiences. This individual will serve as the welcoming face of our office, a trusted resource for our clients, and a key support partner to our advisory team.

Position Summary
The Client Relationship & Experience Associate is responsible for delivering a world-class client experience at every touchpoint. This position combines front desk reception, client relationship management, executive assistant responsibilities, and administrative support within a professional wealth management practice.

Key Responsibilities
Client Experience & Hospitality
- Serve as the first point of contact for clients and visitors.
- Welcome guests with warmth, professionalism, and attention to detail.
- Create a positive and memorable experience for every client interaction.
- Anticipate client needs and proactively provide assistance.
- Assist in coordinating client appreciation activities, gifts, events, and special touches.
- Build and maintain strong relationships through exceptional service and communication.
- Help ensure every client feels valued, respected, and cared for.
Front Desk & Reception
- Manage reception and front desk responsibilities.
- Answer and direct incoming telephone calls professionally and efficiently.
- Greet clients and visitors upon arrival.
- Maintain reception and conference areas to the highest standards.
- Coordinate meeting room scheduling and hospitality needs.
- Manage incoming and outgoing mail, packages, and office deliveries.
- Assist with office organization and administrative coordination.
Client Relationship Support
- Serve as a liaison between clients and advisors.
- Respond to client inquiries and service requests.
- Coordinate account paperwork and service-related documentation.
- Maintain accurate client records and contact information.
- Assist with client onboarding and ongoing relationship management.
- Ensure all client requests are completed accurately and in a timely manner.
Executive & Advisor Support
- Manage advisor calendars, appointments, and scheduling.
- Coordinate travel arrangements, conference registrations, and logistics.
- Assist with correspondence, communications, and follow-up activities.
- Help advisors manage priorities, deadlines, and daily workflow.
- Maintain organizational systems and contact databases.
- Support special projects and business initiatives.
- Handle confidential information with discretion and professionalism.
- Anticipate needs and proactively solve problems before they arise.
Operations & Team Support
- Utilize CRM and office technology systems to track activities and workflows.
- Support firm processes and operational initiatives.
- Assist with client events, seminars, and educational programs.
- Collaborate with team members to improve efficiency and client service.
- Contribute positively to our culture of teamwork, professionalism, and continuous improvement.
Qualifications
Required
- Bachelor's degree, or equivalent professional experience.
- Strong customer service and relationship management skills.
- Excellent written and verbal communication abilities.
- Exceptional organizational skills and attention to detail.
- Ability to manage multiple priorities and deadlines.
- Professional appearance and demeanor.
- Proficiency with Microsoft Office and business software applications.
- Ability to work both independently and as part of a collaborative team.
Preferred
- Experience in hospitality, executive assistant, client service, banking, healthcare, legal, financial services, luxury retail, concierge services, or another client-focused profession.
- Experience with CRM systems and office administration.
- Experience supporting executives, professionals, or business owners.
- Financial services experience is helpful but not required.

Pay: $45,000.00 - $72,000.00 per year
