Position Overview
The Accounts & Grant Specialist plays a crucial role in supporting IAE's mission by managing accounts receivable and grant management. Reporting to the Director of Finance & Operations, the specialist is responsible for day-to-day tasks associated with grant and contract management, compliance tracking, accounts receivable activities, and reporting requirements for federally funded agreements.
This is an exciting time to join IAE and our Finance & Operations Team. We have recently transitioned from QuickBooks Desktop to Sage Intacct accounting software and established a new fund structure with our board. This is a great opportunity to work closely with the Director of Finance & Operations and the Senior Accountant to establish new accounting policies and procedures from the ground up. We will leverage our new platform to create a strong financial framework that supports ongoing strategic growth.
Principal Job Functions
- Prepare and submit financial and performance reports and forms to funders, particularly federal and state agencies.
- Support Program Directors as needed with financial data for grants
- Grant billing. Responsible for creating or reviewing all backup documentation, confirming it is complete and accurate
- Set up new projects in Sage Intacct.
- Close communication with/be backup for Finance & Operations regarding:
- Providing supporting information and review of grants proposals.
- Assist with submitting grant proposals online.
- Receive and document all payments from customers.
- Record payments in Sage Intacct.
- Deposit funds in bank.
- Reconcile various Inventory balances in various databases to Sage Intacct on a monthly/quarterly and annual basis.
- Assist with regular reporting needs, including financial statements, annual audit, and Negotiated Indirect Cost Rate Agreement proposals.
- Close communication with/be backup for Finance & Operations Assistant:
· Create all necessary backup documentation required for invoicing grants/agreements/contracts.
· Reconcile the donor database to Sage Intacct every month, including reconciliation of restrictions.
- Assist with development and improvement of accounting procedures and software use processes.
- Cross train with other finance staff to gain an understanding of processes and procedures and provide occasional back up.
Other duties as assigned related to finance, accounting, operations, and administration roles
Qualifications
Essential Skills and Experience:
· Bachelor’s degree in accounting, business or related field
· 2 or more years of finance and accounting experience
· Experience in GAAP-basis accounting and 2 CFR 200s
· Experience working in a nonprofit organization; familiarity with nonprofit accounting requirements
· Grant management, tracking, and reporting experience, especially with federal government grants and other grants, agreements and restricted funds
· Experience working independently, analyzing and developing accounting processes, procedures and internal controls
· Experience managing and coordinating several projects and tasks simultaneously
· Excellent organizational and communication (written and oral) skills
· Team-oriented; proven collaborator and problem-solver
· Strong attention to detail
· Proficiency with Sage Intacct or similar accounting platform; proficiency with Microsoft Office applications and Google Suite
· Collaborative team member, positive attitude, and ability to work with a diverse staff
· Ability to respect confidential information
Desired Skills and Experience:
· Experience in accounting platform migrations
· Professional licenses or certifications related to the role
· Highly prefer experience with Sage Intacct software system, or high-level experience researching, testing, and improving software implementations.
Physical Challenges:
· Must be able to lift and/or move items weighing up to 20 pounds
· Must be able to complete tasks in an occasionally noisy environment with frequent interruptions
· Ability to remain in a stationary position, often sitting or standing for prolonged periods
