Full Job Description

Thayer Design Build is looking for an experienced Office Manager to own our bookkeeping, HR administration, and a wide range of office responsibilities.

This is not an entry-level administrative role. We need someone who knows their role, takes ownership, catches details other people miss, and gets things done without needing constant direction.

What You’ll Own

Bookkeeping + Financial Administration

Manage QuickBooks and maintain accurate financial records
Accounts payable, accounts receivable, reconciliations, and financial reporting
Maintain accurate project job costing
Manage and understand Work in Progress (WIP) reporting
Catch discrepancies and make sure costs are assigned correctly
Support month-end and year-end close
Coordinate with our CPA, payroll provider, and other financial partners

You do not need construction industry experience, but you must have real professional experience owning bookkeeping responsibilities for a business. You should understand bookkeeping at a higher level than simply entering transactions.

HR + Compliance

Manage employee records and HR documentation
Handle onboarding and offboarding
Coordinate payroll, benefits, PTO, and employee paperwork
Maintain HR compliance records and required documentation
Perform regular audits to make sure files, forms, and processes are accurate and complete
Track deadlines and make sure important paperwork does not fall through the cracks

You must have professional experience handling HR administration and compliance for a business, but official HR accreditation is not required.

Beyond Bookkeeping + HR

These are your primary areas of ownership, but this is a small and growing company. There is always plenty to do.

You may also help with office systems, insurance, vendor coordination, reporting, paperwork, special projects, administrative work, and whatever else helps the company operate better.

We are looking for someone who sees work that needs to be done and helps get it done, not someone who stays narrowly inside a job description.

Has strong bookkeeping experience and advanced QuickBooks knowledge
Understands job costing and WIP
Has real HR administration and compliance experience
Is exceptionally organized and detail-oriented
Is trustworthy with sensitive financial and employee information
Is a self-starter who takes ownership
Has high personal standards and follows through
Is hungry, humble, and smart
Enjoys working hard and being part of a productive team
Has excellent professional references

You should be the person who dots the i’s, crosses the t’s, catches the loose ends, and makes sure things actually get finished.
