ROLE:
As a Property Manager at Apex Management Group, you'll play a respected and truly meaningful role in helping Rhode Island's condominium and HOA communities thrive.
You'll be the trusted partner who keeps your assigned associations running smoothly and residents proud of where they live. Every day brings fresh energy: you'll coordinate seamlessly with our dedicated maintenance team to tackle issues head-on, meet contractors on-site for hands-on solutions, attend board meetings, and build lasting trust with board members by swiftly resolving their concerns.
You'll take ownership of budget planning for the properties under your management, preparing and presenting annual draft budgets that align with each association's goals and financial constraints, while closely assisting the accounting department throughout the process—all accounting functions are handled by our accounting team. From following up on every maintenance task until it's completed, to responding promptly to owner inquiries—you'll handle a dynamic mix of responsibilities that directly impact the comfort, safety, and enjoyment of the homes our clients cherish.
When true emergencies arise, you'll step up with quick email or call support, always connecting people to the right help. RESPONSIBILITIES:
- Client Relationships and Communication: Manage ongoing client relationships by responding to issues and concerns in a timely and professional manner. Serve as the sole point of contact for the executive board, responding to association and owner inquiries within 12 hours, troubleshooting issues with support as needed.
- Association Meetings and Visits: Attend and lead association meetings as required, engaging with board members, providing updates, and addressing concerns. Conduct scheduled recurring visits to associations for property updates and reviews.
- Maintenance Coordination and Follow-Up: Communicate and coordinate maintenance issues as they arise, schedule maintenance with homeowners, follow up to confirm completion, and request pictures and time spent from contractors. Oversee timely resolution of all maintenance items, regularly communicating with the internal Maintenance Coordinator, monitoring progress, providing updates to clients and residents, and proactively resolving issues.
- Vendor Management and RFPs: Send vendor estimates to clients for approval. Draft and send RFPs for contract services, maintenance, and capital projects, compile bids, recommend contractors, award vendors, and sign contracts.
- Resale Certificates and Notices: Process resale certificates and questionnaires for sales or transfers. Send notices to residents and owners for updates or compliance.
- Budget Planning: Prepare and present draft annual budgets, ensuring alignment with financial goals and constraints.
- Meetings and Huddles: Participate in weekly leadership meetings and daily office huddles, summarizing issues, reviewing action items, and sharing knowledge.
RESULTS:
- All tasks have a clear next step and are responded to daily.
- Work orders are assigned and completed within 1 day, depending on severity.
- Owner/association inquiries and questions are handled within 12 hours.
REQUIREMENTS:
- Must be a strong English speaker (Spanish is a big plus!).
- Capable of quick, professional communication with property managers, residents, and owners.
- Hourly rate negotiable based on experience and availability.
