Full Job Description

Georgia Wildlife Federation is looking for a Special Events & Tradeshows Assistant to support all administrative duties for fundraising events. This position reports to the Sportsmen's Program Manager.

Organization: Georgia Wildlife Federation (GWF)
Location: Covington, GA
Schedule: part-time
Some evening and weekend work required (including but not limited to 5 dinners and 2 tradeshows)

Compensation:

Starting at $17/hr, commensurate with relevant education and/experience
Mileage reimbursement included
part-time
Paid holidays, Vacation and Sick Days

About Georgia Wildlife Federation (GWF) Established in 1936, GWF is a statewide nonprofit dedicated to conserving Georgia’s land, water, and wildlife. We promote outdoor education, recreation, and engagement through science-based stewardship.

Responsibilities and Duties

Special Event Attendee and Tradeshow Vendor contact
Create and email contracts and invoices
Input and maintain records/payments in the database

Attend all special events (dinner/auctions, clay shoot, etc.) and tradeshows

Maintain materials required for each tradeshow/event (supply totes)
Tradeshows – register all vendors, obtain payments
After tradeshow – input/update all vendor payments
Special Events – process payments for attendees and auction related sales
After event – input/update all payments. Process attendees, i.e., enter into database
Auctions – prepare silent and verbal auction sheets, table cards and program
Attend all other events as required (clay shoots, etc.)

Membership/Memorials

Input and maintain Georgia Wildlife Federation member records/payments
Create list, print and mail membership renewals
Create and mail Thank You letters
Create and mail memorial Thank You notes

Other duties

Assist with paperwork and accounting following tradeshows and special events
General Office Duties
Assist with phone coverage
Assist with Meetings/rental events (serving food, etc.)
Other duties as assigned

Qualifications

Education Level: High School Degree or higher
Experience: General office administration

Specific Skills

Data entry
Microsoft Office (Word, Excel, Mail Merge, Outlook, and Publisher)
Customer Resource Management (CRM) – The Databank
Credit card payment processing
Basic knowledge of accounting

Personal Characteristics

Multi-tasker and self-starter
Deadline, goal, and detail-oriented
Ability to work independently as well as be a team player
