Operations Coordinator

Reports to: Vice President of Operations

Job Overview

The Operations Coordinator is the backbone of our day-to-day success at Zontec. This role is ideal for someone who thrives in a dynamic environment, takes pride in keeping things running smoothly, and enjoys being the go-to person that the entire team counts on. From supporting our sales department to managing the heartbeat of our office operations, your contributions will be felt across every corner of the company.

Responsibilities and Duties

· Serve as the welcoming first point of contact — opening and closing the office and maintaining a clean, professional environment

· Manage incoming calls and direct them with efficiency and professionalism

· Process service agreement renewals to support client retention

· Handle invoicing with accuracy and timeliness

· Maintain office calendars and generate key operational reports

· Oversee office supply inventory to ensure the team always has what they need

· Manage and maintain our company database with precision

· Assist the Sales department with lead generation initiatives

· Onboard and train new hires on phone systems and database tools

· Process vendor paperwork and manage vendor relationships

· Maintain organized filing systems for both customers and employees

· Act as the primary liaison for all facilities and maintenance needs

Qualifications

· High School Diploma/GED

· 3–5 years of office administration experience

Compensation

· Eligible to participate in year-end bonus

· Comprehensive benefits package including 401(k), paid time off (PTO), and health insurance

Pay: $23.00 - $25.00 per hour
