Job Summary:
The Controller will be responsible for overseeing the school’s accounting operations, including financial reporting, payroll administration, accounts payable oversight, audit coordination, and monthly and annual close processes. The Controller will ensure the accuracy and integrity of the school’s financial records, maintain compliance with accounting standards and regulatory requirements, and support strong internal financial controls.
This position will work closely with the Head of School and Finance Committee to support the financial health of the institution and ensure alignment with operational priorities and long-term sustainability.
Key Responsibilities:
- Financial Management and Accounting Support
- Lead monthly, quarterly, and annual financial close processes, ensuring accurate recording and reconciliation of all financial transactions.
- Prepare accurate and timely financial statements, including income statements, balance sheets, cash flow reports, and budget-to-actual analyses for review by school leadership and the Finance Committee.
- In partnership with the Head of School, leads the development of the school’s annual operating budget and financial projections.
- Review financial performance against budget, identify variances, and provide recommendations regarding financial operations and spending trends.
- Maintain school bank and investment accounts and complete monthly reconciliations.
- Oversee reconciliation of credit card accounts, ensuring charges are documented, coded appropriately, and reconciled with receipts and the general ledger.
- Maintain the integrity of the general ledger and supporting accounting records.
- Assist with cash flow monitoring and financial forecasting activities.
- Payroll and Tax Support
- Oversee payroll processing for all school employees, ensuring accuracy in compensation, benefits, deductions, and payroll reporting.
- Review payroll changes, payroll reports, and payroll-related reconciliations.
- Prepare and reconcile payroll journal entries and complete semi-monthly payroll reporting.
- Coordinate payroll tax compliance and ensure timely submission of required federal, state, and local payroll tax filings.
- Prepare and submit quarterly and annual tax forms (e.g., W-2s, 1099s, etc.) ensuring accuracy and timeliness.
- Collaborate with auditors, payroll providers, and tax professionals regarding payroll and tax-related matters.
- Maintain awareness of changes in payroll and tax regulations affecting school operations.
- Fixed Asset and Risk Management
- Maintain files on vendor contracts, bids, and property & casualty insurance.
- Maintain fixed asset schedules, depreciation records, and supporting documentation.
- Track construction in progress and support periodic fixed asset inventory.
- Coordinate documentation and correspondence related to property and casualty claims.
- Support Workers’ Compensation reporting, audit preparation, and cost analysis activities.
- Assist with insurance renewal documentation and financial reporting support.
- Auditing and Financial Reporting
- Lead annual financial and Workers’ Compensation audits.
- Prepare audit schedules, reconciliations, and supporting financial documentation.
- Coordinate with external auditors and respond to audit requests.
- Prepare and present monthly financial reports to school leadership.
- Maintain accurate records for financial audits, tax filings, and other compliance-related activities.
- Internal Controls and Financial Operation
- Support implementation and maintenance of sound accounting procedures and internal controls.
- Review financial transactions and supporting documentation for compliance with school policies and accounting standards.
- Collaborate with Business Office staff and administrators to support accurate financial reporting and operational efficiency.
- Assist with development and documentation of accounting procedures and workflows.
- Other duties as assigned by the Head of School
Qualifications:
- A personal commitment to the Christian faith and alignment with the school’s values.
- Bachelor’s degree in Accounting
- CPA or CPA track highly preferred
- Proven experience in financial operations, revenue cycle management, and budgeting, preferably in an educational or non-profit setting.
- Excellent communication and collaboration skills with the ability to work across departments and align operations with strategic goals.
Preferred Skills:
- Proficiency in data analysis and reporting to drive decision-making.
- Experience in vendor management and procurement processes.
- Understanding of audit procedures and compliance requirements.
- Strong public speaking and presentation skills.
- Experience in budget management and financial oversight.
Physical Requirements:
- Ability to sit for extended periods while working at a desk or computer.
- Ability to lift up to 25 pounds
- Ability to move around the school campus to conduct tours and participate in events.
- Must have the stamina to attend events that may involve standing or walking for extended periods.

- Must clear the Louisiana Child Care Criminal Background Check
