Purchasing Manager – Design-Build Construction

About the Role
Marvista Design + Build is seeking a Purchasing Manager to manage purchasing, material coordination, inventory, tools, and vendor communication across our active construction projects.
This role serves as the central point of responsibility for project material buyout, purchase orders, long-lead items, supplemental material requests, deliveries, warranty replacements, returns, tool tracking, fleet inventory, and warehouse organization. The Purchasing Manager works closely with Project Managers, Designers, Estimators, and the Production Assistant to ensure materials and tools are available, accounted for, and ready when the team needs them.
Marvista’s primary focus is high-end residential remodeling. This position will also support limited commercial renovation projects and future custom home construction as the company continues to grow.
Key ResponsibilitiesProject Purchasing and Material Coordination
- Manage the purchasing process from project buyout through delivery, warranty coordination, returns, and credits.
- Purchase and buy out project-related materials in accordance with approved scopes, selections, budgets, and schedules.
- Review project drawings, specifications, selections, and purchasing information to confirm materials are complete and accurate before ordering.
- Monitor the company’s internal material-order tracking process each day and ensure project requests are reviewed, purchased, scheduled, and communicated.
- Purchase supplemental or unexpected materials needed to support projects already in progress.
- Coordinate with the Production Assistant to fulfill material requests, pickups, deliveries, and staging needs.
- Prepare and maintain accurate purchase orders and supporting purchasing documentation.
- Track long-lead items and communicate potential delays, backorders, substitutions, or purchasing concerns to the appropriate team members.
- Verify vendor pricing, quantities, invoices, and billing against purchase orders and approved budgets.
Shipping, Receiving, and Returns
- Coordinate deliveries to the Marvista office, warehouse, storage locations, and active project sites.
- Receive, inspect, and check in delivered materials, verifying quantity, condition, and accuracy against purchase orders.
- Document and resolve damaged, missing, incorrect, or backordered materials with vendors and internal team members.
- Manage warranty claims and replacement requests with vendors and manufacturers.
- Coordinate returns, credits, and restocking of unused or excess materials.
Tool and Equipment Management
- Own and maintain the company’s tool-tracking system.
- Maintain accurate records of where company tools and equipment are located, who has them, and when they are expected to be returned. We use NFC tags and software to track.
- Coordinate the assignment, transfer, and return of tools between employees, vehicles, the warehouse, and project sites.
- Inspect company tools and equipment regularly to confirm they are safe, functional, and ready for use. (Production Assistant inspects, but you confirm)
- Coordinate tool repairs, maintenance, replacements, and warranty claims as needed.
- Identify missing, damaged, or underused tools and communicate concerns to Production leadership.
Fleet Vehicle Inventory
- Inspect company fleet vehicles and maintain accurate records of stocked tools, equipment, and consumable materials.
- Ensure vans remain stocked according to company inventory standards.
- Coordinate with the Production Assistant to replenish materials, tools, and supplies before inventory levels affect field operations.
- Report vehicle condition, missing inventory, damage, or maintenance concerns to Production leadership.
- Continuously evaluate which tools and materials should be stocked in each vehicle based on field needs.
Warehouse and Inventory Management
- Oversee warehouse inventory and organization in coordination with the Production Assistant.
- Maintain accurate records of tools, equipment, materials, and consumable inventory entering and leaving the warehouse.
- Establish and maintain clean, safe, and organized storage systems.
- Monitor commonly used consumable materials and coordinate restocking before shortages occur.
- Identify materials that can be reused, returned, reassigned, or stocked for future projects.
- Develop and improve inventory controls that reduce loss, waste, duplicate purchases, and unnecessary project delays.
Vendor and Team Coordination
- Build and maintain strong working relationships with vendors and suppliers.
- Work collaboratively with Project Managers to reduce time spent chasing materials, tools, or unresolved order issues.
- Provide purchasing and inventory support to the Design and Estimating teams as needed.
- Identify opportunities to improve purchasing processes, vendor performance, tool management, inventory systems, and overall project support.
Qualifications
- Experience in purchasing, procurement, inventory management, construction operations, or material coordination is preferred. But will train the right candidate.
- Construction or remodeling experience is helpful, but not required for the right candidate.
- Strong organizational skills and attention to detail.
- Ability to manage multiple priorities, deadlines, and active projects at the same time.
- Strong follow-through and the ability to take ownership of requests through completion.
- Clear and professional communication with vendors, team members, and project staff.
- Comfortable reviewing construction drawings, specifications, selections, budgets, and purchase orders, or willing to learn.
- Comfortable managing tools, materials, inventory records, and physical storage systems.
- Proficient with Google Sheets, Google Docs, email, and other cloud-based software.
- Comfortable learning Buildertrend and Marvista’s internal systems.
- Able to identify urgent project needs and adjust priorities when required.
- Valid driver’s license and reliable transportation.
- Able to lift and handle tools, equipment, and delivered materials when necessary.

Compensation
- Competitive compensation based on experience

- Full-time, Monday through Friday
- Typical hours: approximately 7:30 a.m.–4:00 p.m.

Work Location
This is an in-person position based in the Pittsburgh area. The role will work primarily from our Squirrel Hill office and company warehouse and may regularly visit project sites, vendors, and company storage locations.
Pay: $50,000.00 - $70,000.00 per year
