Overview

Join a dynamic and compassionate private mental health clinic as an Office Manager dedicated to fostering a welcoming, efficient, and compliant environment. In this vital role, you will oversee daily operations, manage administrative functions, and ensure the seamless delivery of mental health services. Your leadership will support clinicians, staff, and patients alike, promoting a positive experience while maintaining the highest standards of healthcare management. Duties

Oversee daily clinic operations, including scheduling, patient flow, and administrative workflows to optimize efficiency and patient satisfaction
Manage financial aspects such as medical billing, and fiscal management to ensure the clinic’s financial health and compliance with healthcare regulations
Supervise clinical and administrative staff, providing guidance on medical office management, HR policies, and team development
Maintain compliance with healthcare regulations including HIPAA (Health Insurance Portability and Accountability Act), and other relevant policies
Utilize electronic health records (EHR/EHR systems) such as DrChrono for accurate medical records management and patient data security
Coordinate with healthcare providers on practice management strategies, utilization management, and managed care processes to enhance service delivery
Ensure adherence to medical terminology standards and proper documentation practices in medical records and patient management software
Lead efforts in office management tasks such as inventory control, appointment scheduling, patient communication, and customer service excellence

Requirements

Proven experience in medical office management or healthcare practice management within mental health or medical clinics
Strong supervisory skills with demonstrated success managing teams in a healthcare setting
Extensive knowledge of healthcare regulations including HIPAA compliance, and health regulation policies
Proficiency in EMR/EHR systems with patient management software is essential
Excellent fiscal management skills including budgeting, financial reporting, and medical billing processes
Ability to communicate effectively with staff, patients, vendors, and external partners using managerial communication techniques
Background in nursing or medical office experience is advantageous; understanding of medical terminology and medical records handling is required
Competence in Microsoft Office applications for administrative tasks and reporting purposes
Prior experience managing healthcare staff within a clinical environment that emphasizes compliance and quality assurance
