Full Job Description

Job Requirements

Reports to the Manager or Director of the unit. The Clinical Business Supervisor, Perioperative & Procedural Services focuses on the efficient operations of the department and the performance of its administrative staff following UMMC Downtown and Midtown and departmental policies and procedures in the delivery of quality patient care in regards to administrative and business functions including but not limited to registration, staff and patient scheduling, supply chain, charge capture, administrative support, financial performance and compliance.

Primary Responsibilities

Staff Supervision

Supervise Coordinators/Administrative Support Staff; ensure proper staffing at all centers
Interview, hire, train, schedule, and evaluate staff in partnership with Manager/Director
Set expectations, review performance, administer competencies, and provide coaching/feedback
Counsel and discipline staff per UMMC HR and departmental policy
Identify training needs and support staff development

Registration, Scheduling & Referrals

Provide clinical oversight of patient scheduling, insurance authorization, and charge capture
Manage provider scheduling templates, including new provider/visit-type setup
Oversee registration/encounter accuracy and ensure work queues are actively reconciled
Handle prior authorizations and referral activities as needed to maximize reimbursement and satisfaction

Financial & Charge Operations

Support department budget performance; monitor variances and prepare recommendations
Compile and analyze financial/statistical data and reports
Oversee daily charge reconciliation, charge error queues, and Charge Master accuracy
Manage point-of-service collections (reconciliation, posting, depositing)
Assist with accounts payable, billing, and office expenditures

Supply Chain & Contracts

Oversee requisitioning, supply levels, and equipment maintenance
Liaise with Materials Management/Contracts on supply chain issues
Facilitate CQVA process for new product/equipment introduction; recommend vendor/product changes
Manage contract submission and review with Corporate Contracts and Legal; facilitate vendor onboarding

Department Operations & Compliance

Maintain compliant, efficient department operations per organizational and regulatory requirements
Draft/revise office procedure manuals
Monitor patient privacy/confidentiality adherence
Handle guest relations issues, prioritizing and escalating as needed
Coordinate orientation, certifications, office moves, and other administrative tasks as assigned
Perform all other duties as assigned.

Work Experience

Education & Experience - Required

Registered Nursing License in the state of Maryland is required.

Education & Experience - Preferred

Nursing experience in surgical and / or procedural services preferred.

Knowledge, Skills, & Abilities

Detailed knowledge of departmental functions and computer software applications.
Excellent organizational skills, ability to prioritize own work and that of others.
Highly effective communication, written and organization skills are required.
Effective use of Microsoft applications.
Ensures patient safety in the performance of job functions and through participation in hospital, department or unit patient safety initiatives.
Acts to correct observed risks to patient safety.
Reports adverse events and near misses to appropriate Manager / Director or other management authority.
Identifies possible risks in processes, procedures, devices and communicates the same to the Manager / Director for implementation of changes
