Requirements

HS/GED and four years of related office experience. Training/education may be substituted for some of the years of experience.
Strong writing skills with a high level of proficiency in grammar, punctuation, and spelling.
Computer experience with knowledge of MS Word and MS Excel preferred.Requirements

Bargaining unit consideration begins on 8/10/2026 and ends on 8/17/2026. Pay rate is $24.33/hour. Schedule is 30 hours/week, Monday - Friday.

The Administrative Assistant will help support the Humanities, Social Sciences, and Education (HSSE) Department and the Business, Arts, and Education (BAE) Division. This position is located on the University of Minnesota Crookston (UMC) Campus.

Administrative Support for HSSE Department (55%)

Create and maintain a welcoming and inclusive working environment to reflect well on the department.
- Regularly monitor the office working space and obtain assistance as needed to ensure the space is clean, clear of hazards and is welcoming to students, faculty and staff.
- Exercise good judgment, maintain confidentiality, and communicate professionally within the department and with other units.
- Be available to students, faculty, and staff to answer questions, address problems within the department’s purview effectively, and refer issues outside the scope of the position to the appropriate person, unit, and/or campus and system resources.
- Respond promptly and professionally to requests from AVC, Department Chair, and Faculty.
Provide general administrative support to the department
- Maintain effective communication with other units including the other academic departments, the student success center, admissions, library, OTR, facilities, and dining services, keeping department/division leadership informed of any escalating issues.
- Compose and/or prepare correspondence, memoranda or other written communications as requested.
- Develop and maintain proficiency in university software applications and provide training to support others as requested.
- Assist department faculty with offices, technology, and other needs.
- Monitor and assist with the accurate maintenance of sensitive and confidential student information such as grades, contact information, department advisor, and student programs/plans and personal history.
- Create an agenda, take minutes, and communicate with faculty about department meetings, make necessary room arrangements, and work with dining services as needed.
- Provide updated resources, such as syllabus templates, to adjunct faculty as needed
Support the stewardship of department resources.
- Monitor budget expenditures and balances.
- Reconcile department budgets and provide reports as requested
- Coordinate with bookstore and library on course material orders.
- Track purchases and license agreements (Music/Theater) ensuring compliance with University policies and procedures.
Assist in facilitating hiring processes
- Provide logistical support for hiring processes for department faculty, from the search stage through department-level onboarding.
- Maintain oversight of adjunct pool postings in employment portal
- Produce contracts for adjunct faculty in a timely manner
Provide academic administrative support
- Provide support for curriculum processes, including support for faculty, attend meetings as needed to support the department, and accurate and timely submission of information (e.g., syllabus manager; CourseDog)
- Work with HSSE department chair and AVC to prepare and communicate course schedules.
- Monitor schedules, communicate status, and update as directed by AVC in a timely manner
- Provide support and monitoring of student registration, communicating issues or challenges as needed
- Update Program Requirement Sheets for departmental programs; communicate promptly to keep web presence current.
- Assist Academic Affairs as requested with workload reports and annual evaluation processes

Administrative Support for BAE Division (30%)

Coordinate with the Business Department Administrative Specialist to support the Associate Vice Chancellor. This may include scheduling meetings, drafting correspondence, being present as needed in the AVC’s office suite, or other duties.
Work closely with faculty, staff, and constituency groups to meet the goals of the Division and Department.
Specialist Accreditations
Provide support for all BAE Division accreditations, including the Education Unit, POST, ACBSP, and BELTSS/AUPHA
Respond promptly and professionally to all requests from faculty directors of those programs/units with specialty accreditation
Document, maintain, and produce reports of data as required by accrediting agencies
Assist with communications to/from accreditors; maintain records
Assist with orienting new program directors as needed
Provide logistical and administrative support for cyclical reaccreditation/reaffirmation visits

Projects at Division and Department Level (10%)

Projects may include activities such as data collection/analysis, planning and support for events, and unit messaging and displays (physical and electronic).
