Full Job Description

Position Overview

We are seeking a professional, organized, and dependable Office Administrator to serve as a first point of contact for visitors, clients, and employees. This position provides administrative support to management, helps maintain efficient office operations, coordinates documentation and records, and assists with routine financial and payroll-related processes. The ideal candidate is detail-oriented, enjoys working with people, can manage multiple priorities, and takes pride in keeping the office organized and running smoothly.

Work Schedule

This is a full-time, in-office position located in Lafayette, Louisiana. Regular business hours are maintained Monday through Friday, with occasional attendance at meetings or organizational events as needed.

Key Responsibilities

Office Administration

Greet visitors and provide a professional, welcoming office environment for members of the public, vendors, and other stakeholders.
Answer and route incoming phone calls, emails, and messages.
Maintain electronic and paper filing systems.
Prepare correspondence, reports, meeting materials, memos, minutes, and other documents as directed.
Manage incoming and outgoing mail, deliveries, and routine office errands.
Order office supplies and coordinate routine office purchases.
Assist with scheduling meetings, company events, and administrative projects.
Provide other general administrative support as assigned by management.

Financial and Accounting Support

Collect and organize vendor invoices and supporting documentation.
Route invoices to the appropriate personnel for review and approval.
Coordinate approved invoices and supporting records with the organization's outside CPA/accounting firm for payment processing.
Prepare and make bank deposits.
Maintain organized financial files and supporting documentation.
Assist with audit requests by gathering records, reports, and supporting documents.

Note: This position is not responsible for posting accounting entries or maintaining the organization's accounting software. The role supports management and the outside accounting firm by organizing, routing, and maintaining financial documentation.

Payroll and Human Resources Support

Assist with employee onboarding documentation and related administrative forms.
Maintain personnel files and other confidential records.
Review employee timesheets for completeness and follow up on missing information.
Assist management with routine administrative aspects of hiring and employee communications.
Support employee activities, company events, and related administrative needs.

Qualifications

High school diploma or equivalent required.
Two or more years of administrative, office support, public-facing or related experience preferred.
Strong organizational and time management skills.
Excellent written and verbal communication skills.
Proficiency with Microsoft Office, including Word, Excel, Outlook, and standard office technology.
Ability to handle confidential information with professionalism and discretion.
Attention to detail and a commitment to providing professional, courteous service to visitors, vendors, and members of the public.
