About the Role
Green Attic is hiring a Chief of Staff to help run and supervise the departments across administration, sales coordination, scheduling, customer follow-up, production support, and internal team accountability.
This is not a basic admin role. We need someone who can manage people, organize chaos, follow up without being reminded, and make sure the roofing team is moving in the same direction. The right person must be comfortable supervising roofing admins, sales coordinators, office support, and other team members involved in the workflow.
You will work closely with ownership and leadership to keep roofing operations organized, accountable, and profitable.
What You'll Own
- Cross-business administration: Serve as the central point of contact for admin, compliance, and operational needs across all businesses under the ownership group, with Green Attic as the primary hub.
- Payroll & contractor compliance: Manage and oversee W-2 employee administration and W-8BEN/contractor documentation across all entities — ensuring proper classification, timely filing, and clean records.
- HR & people operations: Support hiring, onboarding, benefits administration, and basic HR compliance across the businesses.
- Vendor & contract management: Negotiate, track, and manage vendor agreements, subscriptions, leases, and service contracts.
- Financial administration support: Work closely with bookkeeping/accounting to ensure invoices, expenses, and records are accurate and current across entities; flag discrepancies and inefficiencies.
- Process & systems building: Identify where each business lacks structure (SOPs, filing systems, tracking tools) and build it — you're creating order, not just maintaining it.
- Owner support: Act as a true chief of staff to the owner — managing priorities, following through on action items, and representing the owner's interests across the businesses.
- Special projects: Take ownership of initiatives that span multiple businesses — new entity setup, licensing/permitting, insurance renewals, lease negotiations, etc.
Key Responsibilities
· Manage and supervise the support teams, including admins, sales coordinators, and related office staff.
· Oversee daily workflows from lead intake, estimate coordination, scheduling, production handoff, customer updates, and follow-up.
· Make sure tasks are assigned clearly, deadlines are followed, and team members are held accountable.
· Coordinate between sales, production, office staff, estimators, customers, vendors, and subcontractors.
· Track jobs, pending estimates, customer communication, material needs, permit/status issues, and unresolved follow-ups.
· Identify bottlenecks in the production department and help create better systems, SOPs, checklists, and task processes.
· Support leadership by preparing updates, organizing priorities, and making sure important issues do not get lost.
· Monitor team performance and escalate issues when work is late, unclear, incomplete, or poorly communicated.
· Help improve customer experience by making sure communication is timely, professional, and accurate.
· Maintain strong documentation inside company systems such as CRM, task management tools, shared drives, and internal communication channels.
Required Experience
· Roofing, construction, restoration, home services, or contractor operations experience required.
· Previous supervisory or team management experience required.
· Experience managing admins, coordinators, sales support, dispatchers, project coordinators, or operations staff strongly preferred.
· Strong understanding of roofing workflows, including estimates, customer communication, scheduling, materials, crews, permits, supplements, or production coordination.
· Ability to manage multiple jobs, people, and priorities without constant reminders.
· Strong written and verbal communication skills.
· Comfortable holding team members accountable in a direct and professional way.
· Experience with CRM, task management, scheduling, or project management software preferred.

Qualifications
· 3+ years of roofing, construction, restoration, or home-services operations experience preferred.
· 2+ years of supervisory, management, or team lead experience preferred.
· Strong organizational and follow-up skills.
· Ability to manage multiple team members and priorities daily.
· Strong problem-solving and escalation judgment.
· Professional communication with customers, vendors, subcontractors, and internal teams.
· Comfortable using tools such as HubSpot, ClickUp, Google Workspace, Jobber, Roofr, or similar platforms.
