Full Job Description

Job Responsibilities:

Serve as the primary onsite Operations/Office Support contact in the Cheshire, CT office, ensuring day-to-day needs are handled promptly.
Manage daily mailroom activities, including sorting and distributing incoming mail, preparing outgoing mail and packages, and coordinating shipments.
Maintain a clean, orderly, and safe office environment across the Chicago suite, including common areas, conference rooms, and reception.
Coordinate local safety-related activities such as drills and basic emergency preparedness; partner with external vendors and contractors to schedule repairs, maintenance, and minor renovations.
Oversee office layout and seating assignments for the Chicago location, including visitor/guest desk planning and related logistics.
Partner with the local culture/engagement team to execute office events and meetings, including room setup, supplies, and onsite support for local and company-wide gatherings.
Provide in-person support to executives and visiting team members, including greeting guests, arranging logistics, and handling ad hoc requests.
Coordinate visitor access and security processes for all Chicago office guests, ensuring compliance with internal security protocols.
Pick up and set up food and catering orders as needed; respond to office-related service requests from local team members in a timely, customer-focused manner.
Track and replenish office, kitchen, and basic IT supplies; process purchase requests and maintain inventory of snacks, beverages, and office consumables.
Assist with simple IT/helpdesk tasks (e.g., basic troubleshooting, coordinating with remote IT) and maintain accurate records for equipment and supplies.
Support monthly departmental reporting by collecting and submitting usage and activity data; generate periodic ad-hoc reports on key systems as requested.
Cross-train with teammates to provide backup coverage for related office services, and take on additional responsibilities as assigned.

Qualifications:

High school diploma or equivalent.
At least 2 years of experience in an administrative, office coordination, or front-desk support role.
Experience with or exposure to building or office security systems (Guardian Security or similar) preferred.
Comfort providing basic, first-level IT/helpdesk assistance (e.g., simple troubleshooting, ticket submission, coordination with IT).
Proficiency with the Microsoft Office suite (Outlook, Word, Excel); ability to quickly learn internal tools and systems.
Strong attention to detail, sound judgment, and the ability to stay composed and professional in fast-paced or high-pressure situations.
High energy, a strong customer-service mindset, and a willingness to be hands-on with day-to-day operational needs.
Ability to maintain a polished, professional presence in the office, including appropriate business attire, communication style, and demeanor.

Part-time Role:

Monday - Thursday (8am-4pm) (30 hours if you include 30-minute lunches)
