About the Role
A small, privately held business is seeking a polished, discreet, and highly organized Executive Assistant / Receptionist to serve as dedicated executive support to its principals and to anchor the front desk. This is a dual role: half the position is providing personal and executive assistance to a busy two-person leadership team, and the other half is maintaining a professional, welcoming front-of-house to the business.
The ideal candidate is composed and gracious with guests, exacting in the details, comfortable exercising independent judgment, and trustworthy with sensitive information. You will be a behind-the-scenes force, keeping multiple calendars, handling correspondence and commitments, ensuring these executives multiple obligations run smoothly. You also act as the first point of contact for visitors, clients, and vendors.
Executive & Personal Assistance
● Manage the principals' business and personal calendars, scheduling meetings, appointments, and travel while proactively resolving conflicts
● Draft, review, and send emails and other correspondence on behalf of the principals
● Coordinate travel and logistics, including booking arrangements, preparing itineraries, and reconciling expenses
● Prioritize incoming requests and commitments, keeping the principals informed of upcoming obligations and following up appropriately
● Prepare documents, materials, and light research as needed
● Run point on personal errands and ad hoc projects, seeing them through independently
● Handle confidential business and personal matters with sound judgment and absolute discretion
Front Desk & Reception
● Maintain the front desk as a welcoming, professional, and immaculate first point of contact
● Greet visitors, clients, and guests with warmth and discretion, establishing rapport and directing them appropriately
● Answer, screen, and route phone calls, emails, and in-person inquiries
● Manage the flow of the front-of-house so the office always presents at a high standard
● Receive deliveries, handle mail, and coordinate couriers
● Support meetings and events with logistics and on-site hospitality
● Keep front-desk supplies and materials stocked and organized
Skills & Qualifications
● Advanced organizational skills to manage time, coordinate calendars, prioritize tasks, and meet deadlines
● Excellent written communication skills for drafting emails and other documents on behalf of their employers
● The ability to be discreet to safeguard sensitive or confidential information about their employers and business processes
● Technical calendar-management skills to operate automated scheduling, calendar, and task-management software
● A polished, professional presence suited to a client-facing setting
● Ability to work independently, anticipate needs, and take initiative without close supervision
● Comfort balancing front-desk responsibilities with executive support in a single day
● Must be able to pass a background check, drug screen and provide references upon request
Preferred
● Prior experience as an Executive Assistant, Personal Assistant, or professional receptionist/concierge
● Familiarity with a professional office, hospitality, or private-household environment
● Proficiency with Microsoft Office and/or Google Workspace and common scheduling tools
● Valid driver's license and reliable transportation for errands as needed
Schedule & Compensation
● Full-time, on-site
● Compensation commensurate with experience
● Some flexibility for after-hours events, travel coordination, and time-sensitive needs
