Full Job Description

Royal Plywood Co. is one of the largest independent Wood Product Wholesale distributors in California servicing the wood products industry since 1961.

We are looking for a detail oriented and dependable Accounts Payable & Inventory Specialist to join our accounting team. In this role, you'll work closely with a teammate to ensure vendor invoices are processed accurately and on time, inventory is kept current and customer orders can be fulfilled efficiently. This position requires strong organizational skills, attention to detail, and the ability to collaborate across multiple departments.

Duties and Responsibilities

Process vendor invoices accurately and promptly to ensure timely payments and maximize available payment discounts.
Match vendor invoices with purchase orders and receiving documents, resolving discrepancies involving pricing, freight, quantities, or product costs.
Receive inventory into the system and verify inventory transactions are complete and accurate.
Collaborate with buyers and vendors to resolve billing discrepancies, invoice adjustments, credits, and debit memos.
Track supplier returns, vendor credits, and rebate programs to ensure all credits are received and applied.
Scan and maintain complete electronic documentation for all accounts payable transactions.
Review invoices for accuracy and post them into the accounting system for payment.
Prepare invoices and supporting documentation for scheduled payment processing.
Monitor outstanding non-stock purchase orders and follow up with vendors to obtain missing invoices.
Reconcile monthly vendor statements and investigate outstanding balances or discrepancies.
Maintain organized accounts payable files, including annual record retention and file maintenance.
Communicate issues or obstacles that may impact workflow, deadlines, or financial accuracy to management.
Follow company policies, safety procedures, and maintain confidentiality of financial information.
Assist with additional accounting, inventory, and administrative duties as assigned.

Qualifications

Minimum of 3 years of experience in Accounts Payable, Inventory Control, Accounting, or a related role.
High school diploma or equivalent required; Associate's degree in Accounting, Business, or a related field is preferred.
Experience working with accounting or ERP software.
Proficient in math.
Strong understanding of invoice processing, purchase orders, inventory transactions, and vendor reconciliations.
Excellent organizational, time management, and problem-solving skills.
Exceptional attention to detail with a high degree of accuracy.
Ability to prioritize multiple tasks and meet deadlines with minimal supervision.
Strong communication and interpersonal skills.
