Full Job Description

Job Summary

The Legal Secretary & Operations Coordinator will provide comprehensive administrative and operational support to a busy litigation practice. This role requires a unique blend of traditional legal secretarial skills (filing, binder preparation) and modern technical proficiency (AI tools, case management software). You will be the primary liaison between the firm, its clients, and the court.

Key Responsibilities

Case & Document Management

Maintain and update all case files within Clio.
Review multi-page legal documents for accuracy before filing or providing status updates.

Physical Trial Prep

Assemble, tab, and organize high-quality physical binders for trials, hearings, and depositions.

Client Communications

Manage the firm's "omnichannel" inbox, responding to clients via Email, WeChat/WeCom, and phone.
Ensure all communications are professional, empathetic, and accurately translated (using integrated tools) when necessary.

System Operations

Manage administrative tasks in various tech platforms including Clio, Outlook, and firm proprietary tools.
Help refine and monitor AI-driven workflows to ensure automated tasks (like intake or scheduling) are running correctly.

Office Coordination

Manage the attorney's calendar and court deadlines.
Ensure the physical office is organized and prepared for client meetings.

Qualifications & Requirements

Experience: 2+ years as a Legal Secretary or Administrative Assistant (Litigation experience preferred).
Tech-Savvy: Proficiency with Clio, Microsoft 365 (Outlook/Word), and Gusto. Experience with WeChat/WeCom is a major plus.
Organizational Mastery: A proven track record of managing high-volume tasks without losing track of details.
Language Skills: Professional fluency in English; Mandarin Chinese is a significant advantage given our client base.
