Job Overview

The Administrative Assistant to the Vice President of Operations plays a critical role in supporting the VPO in the day-to-day management and operations of DIU’s administrative functions. This position requires a high degree of professionalism, organization, and attention to detail, as well as the ability to handle confidential information and communicate effectively with various stakeholders across campus and beyond.

Responsibilities ii

Executive Support: Provide high-level administrative support to the VPO, including managing calendars, scheduling meetings, and coordinating travel arrangements.
Communication: Serve as a point of contact for internal and external communications, representing the VPO’s office with professionalism. Draft, proofread, and edit correspondence, reports, and presentations.
Meeting Coordination: Organize and prepare agendas, take minutes, and follow up on action items for meetings with university leadership, staff, and external partners.
Project Management: Assist in the planning and execution of key projects within the Operations Department. Track deadlines, deliverables, and progress while supporting operational initiatives.
Document Management: Maintain and organize electronic and physical files, ensuring that documents are stored properly and accessible when needed. Ensure compliance with DIU’s policies related to document retention.
Event Coordination: Plan and coordinate events, workshops, and conferences on behalf of the VPO, ensuring all logistics are managed effectively.
Budget Support: Assist in monitoring budgets, tracking expenses, and preparing financial reports as needed for the VPO.
Collaboration: Work closely with other departments, staff, and faculty to support the overall mission of the University and the VPO’s operational goals.
Additional Tasks: Perform other related duties as assigned by the VPO to ensure efficient departmental functioning.

Qualifications

Bachelor’s degree preferred.

Hours

Part-time. During the hours of 8 am to 5 pm, Monday through Friday.

Physical Requirements

Ability to sit for extended periods and occasionally lift up to 15 pounds.

i A seconded member is a paid employee from another institution who is loaned to DIU through a partnership agreement.
