Front Office Manager

Location: Beckloff Behavioral Health Center
Schedule: Full-Time, Monday–Friday, approximately 9:00 AM–5:00 PM

About the Position

Beckloff Behavioral Health Center is seeking a warm, professional, and highly organized Front Office Manager to serve as the first point of contact for our clients and referral sources. This individual plays a vital role in creating a welcoming, compassionate, and efficient experience for every client while supporting the daily operations of our private psychology practice.

This position is ideal for someone interested in the mental health field, such as a psychology major, recent graduate, or graduate student seeking hands-on experience in a private practice setting. While previous mental health experience is preferred, we are looking first and foremost for someone who demonstrates professionalism, exceptional interpersonal skills, and outstanding attention to detail.

Responsibilities

Answer incoming phone calls in a professional, compassionate, and efficient manner.
Serve as the primary point of contact for current and prospective clients.
Schedule new client appointments and manage provider calendars.
Respond promptly to emails, voicemail messages, and online inquiries.
Greet clients and create a welcoming, supportive office environment.
Verify and update client information while maintaining strict confidentiality.
Coordinate appointment scheduling, confirmations, cancellations, and rescheduling.
Communicate effectively with psychologists, therapists, physicians, schools, and referral sources as appropriate.
Maintain accurate electronic records and ensure documentation is complete.
Assist with general office administration, organization, and daily operations.
Help ensure the office runs smoothly while providing exceptional customer service.

Qualifications

Required

High school diploma or equivalent.
Excellent verbal and written communication skills.
Strong organizational skills with exceptional attention to detail.
Professional appearance and demeanor.
Outstanding customer service and interpersonal skills.
Ability to manage multiple priorities in a fast-paced environment.
Strong computer proficiency and ability to learn electronic health record systems.
Ability to maintain confidentiality and exercise discretion with sensitive information.

Preferred

Bachelor's degree in Psychology or a related behavioral health field.
Current psychology or counseling graduate student.
Previous experience in a mental health, medical, or private practice setting.
Experience scheduling appointments and managing calendars.
Familiarity with electronic medical records and office software.
