Full Job Description

General Summary

This position schedules and manages service calls and tickets for GFE solar and storage products, dispatches service technicians, quotes and collects billable service work, and ensures a sustained 5 star rating for our corporation from customers. They are responsible for taking customer calls related to customer service, determining the type of service required, scheduling the appointment for the service and working with other departments to ensure service is performed properly.

Responsibilities and Duties:

● Resolve all field-related issues with a positive outcome in a timely manner.

● Point of contact for all field operations team members for updates, questions or concerns.

● Oversight of all solar and storage jobs and responsible for the final sign-off on Job Close-Out Form.

● Review site assessments and prepare a Bill of Materials (BOM) Form and deliver it to the purchasing department within 48 hours.

● Coordinate with project management, engineering, and purchasing to ensure project delivery.

● Master scheduling to ensure correct personnel to complete jobs safely and timely.

● Accurate man-hours tracking and submission to payroll.

● Perform site visits for proactive quality assurance.

● Responsible for training team members and providing corrections based on visual inspections.

● Perform technical commercial and complex residential site surveys.

● Identify and train for all safety-related issues and risks on project sites.

● Fleet management and audit of vehicle maintenance records.

● Responsible for inspections with the city when requested by leadership.

● Ensure all OSHA regulations are followed on all job sites.

● Drive revenues and improve profitability of the service department

●Oversee estimates & sales for service revenue streams

● Build new B2B service partnerships

● Collaborate with leadership team to create solar service business model with leads, conversion rate, sales, revenue, margin projections

○ Build out marketing & sales funnels for high-margin service opportunties

● Weekly reporting to CEO & COO on KPI’s

● Help maintain excellent company reviews and assist with conflict resolution/customer de-escalation

● Assist the team in problem solving

● Develop project plans with estimated man hour counts for larger service jobs

● Must be aligned with the Company’s Core Value of Service and Ownership’s desire to sustain a 4.9+ Rating

● Dedicated to resolving customer service issues by working through the proper channels and departments to reach mutually satisfactory resolutions

● Manage Voice of Client Survey program to ensure top-level customer service throughout various stages of the project cycle

● Oversee the Company CRM on all service tickets created and work within the correct workflow designed for different service pipelines , ensuring compliance with company-established SLAs

● Collaborate with department heads, including but not limited to CEO/COO, Sales, Field Operations, and Project Management

● Process RMA’s needed for equipment failures and ensure proper Accounting procedures are followed

● Respond to customer service tickets in a timely and professional manner, including answering phone calls and responding to voicemails directed towards customer support during business hours.

● Send customer estimates and quotes for billable service tickets and ensure proper payment processing

● Communication with tech support needs to be top-notch

○ GFE Customer Not Under Warranty

○ Outside GFE Network

● Performs analysis and diagnosis of customer energy monitoring databases.

● Troubleshoots production issues remotely utilizing product technical service hotlines.

● Hypothesize potential solutions to energy discrepancies

● Performs service department analysis.

● Facilitates Return Merchandise Authorization processing as well as shipping/receiving of defective equipment and replacements when necessary.

● Provides customers and fellow employees with manufacturer-created training resources.

● Performs all other technical administrative work necessary, including self-directed tasks

which may increase profitability of GFE’s operations.

● Acts as customer service point of contact internally for escalation to resolve conflicts, complaints and claims.

● Identify the needs for individual development versus assigned roles / expectation, and create any necessary individual training development plan to monitor progress with regular dialogue.

● Attends all meetings and conference calls.

● Performs in a manner consistent with company Core Values.

● Maintains strictest confidentiality.

● Provides excellent customer service, for both internal and external customers.

● Adheres to all OSHA , GFE Safety Manual and other safety guidelines at all times ensuring no injuries.

● Actively demonstrates teamwork at all times.
