Full Job Description

Department: Front Office

Reports to: Practice Manager

Job Summary: The Patient Care Coordinator serves as the first point of contact for patients and plays a critical role in providing a positive, professional, and seamless experience throughout the patient journey. This position supports front office operations including scheduling, communication, insurance coordination, and administrative support to ensure efficient practice operations and exceptional patient care.

About the Position: This individual plays a vital role in welcoming patients to the practice and ensuring their professional and courteous treatment. The job entails checking in patients, reviewing patient charts for necessary information and signatures, and entering new patient information into the electronic practice management system.

Required Education and Experience:

1. A high school diploma or equivalent. Some college courses or bachelor’s degree preferred.

2. Administration certification (e.g., BSM Consulting’s Certified Patient Service Specialist – CPSS) preferred

3. Demonstrated passion for providing outstanding patient healthcare experience.

Essential Skills and Abilities:

1. Ability to work effectively as part of a supportive and collaborative team.

2. Proficient in managing multiple tasks simultaneously.

3. Demonstrates empathy and attentiveness to each patient's individual needs and concerns.

4. Excellent skills in documenting information and clear communication.

5. Familiarity with electronic health records and practice management systems is preferred.

6. Strong organizational and administrative abilities.

7. Exceptional time management and record-keeping skills.

8. Treats patients and co-workers with respect and professionalism.

9. Able to work effectively in high-pressure situations and respond appropriately to emergencies.

Key Responsibilities:

Greetings and Assistance

· Warmly greets and attends to patients in person and over the phone.

· Professionally assists doctors, fellow staff members, visitors, and patients.

Compliance and Confidentiality

· Performs all duties following HIPAA regulations.

· Maintains strict confidentiality regarding doctors, staff, and patient information.

Patient Tracking and Communication

· Tracks patients in the reception area and communicates with them as necessary.

· Notifies the clinical team when a patient is ready for work up.

· Records patients’ arrival times and ensures timely appointments.

Chart and Documentation review

· Evaluates chart data for accuracy, completeness, and required signatures.

· Completes accurate documentation of patient visit
Administrative Tasks

· Photocopies and verifies Identification and Insurance cards.

· Verifies insurance eligibility via batch or payer website

· Assists patients in obtaining required authorizations or referrals

· Enters new patient demographic data into the system accurately

Appointment Scheduling and Communication

· Answers phone calls and schedules appointments as needed

· Directs patients to online portals or mails new patient registration forms

· Confirms appointments with new patients and verifies required information

· Contacts no-show patients to reschedule as necessary

· Verifies necessary patient information at the time of appointment.

Telephone Support and Financial Transactions

· Provides backup support on telephones.

· Collects co-pays, refraction fees, or outstanding balances during check-in, always maintaining a friendly demeanor.

Environment and Compliance

· Inspects the reception area for cleanliness and organization

· Ensures lobby is free of debris and maintains a welcoming appearance

· Ensures the patient refrigerator is clean, organized, and regularly stocked with approved items, following safety and hygiene protocols

· Adheres to office policies and procedures during all activities.

Inventory Management

· Manages business inventory by monitoring supplies and requesting equipment repairs as needed.

Additional Duties

· Performs other necessary duties as required.

Physical Activity of Position:

· Ability to stand and walk during work shifts.

· Ability to use standard office and medical practice technology (e.g., phone, computer, scanner)

· Good vision and hearing for accurate information processing and communication

· Ability to stand and walk during work shifts

· Ability to lift up to 25 pounds when handling supplies or assisting patients

· May require occasional bending, reaching, or moving items related to office or patient care
