Overview

Dignity is a nonprofit home healthcare agency serving communities throughout the State of Georgia. We also operate a nursing school offering Nurse Aide, Phlebotomy Technician, and Practical Nurse programs.

We are seeking a dynamic, detail-oriented Admissions Administrative Assistant to join our team. This vital role supports the admissions process through exceptional customer service, efficient office management, accurate recordkeeping, and regulatory compliance. As the first point of contact for prospective students, visitors, clients, and caregivers, you will help create a welcoming environment while ensuring smooth administrative and admissions operations.

This position is ideal for someone with strong organizational skills, excellent communication abilities, and a passion for helping students succeed.

Schedule

30+ hours per week
Monday–Friday

Key Responsibilities

Greet prospective students, visitors, clients, and applicants professionally while providing exceptional customer service.
Answer and manage a multi-line phone system, directing calls and responding to inquiries courteously and efficiently.
Receive, review, and process nursing school applications, ensuring all required documentation is complete and accurate.
Verify the authenticity of transcripts, licenses, certifications, and other supporting documents.
Maintain accurate and confidential student records, admissions files, interview notes, and enrollment documentation.
Enter complete and accurate student information into Orbund, Lead Management Systems, and other databases.
Track applicant progress and maintain admissions records using Microsoft Office, Google Workspace, and internal systems.
Assist prospective students throughout the admissions process by answering questions, resolving concerns, and providing outstanding support before and after enrollment.
Ensure compliance with school admissions policies, accreditation standards, and applicable governmental regulations.
Complete all enrollment and admissions paperwork accurately and efficiently.
Schedule appointments, coordinate meetings, and assist with calendar management.
Verify caregiver shifts to ensure assigned client hours are completed.
Process payments, maintain financial records, assist with billing inquiries, and perform bookkeeping duties using QuickBooks.
Perform general administrative and clerical duties, including filing, proofreading documents, managing correspondence, and maintaining organized office records.
Maintain the highest level of confidentiality when handling student, client, and employee information.
Attend staff meetings, training sessions, and participate in continuous professional development.
Represent Dignity Nursing School with professionalism, integrity, and a positive attitude at all times.

Qualifications

Previous experience in admissions, administrative support, office management, or front desk operations preferred.
Knowledge of the admissions process is an asset.
Excellent verbal and written communication skills.
Strong interpersonal skills with the ability to build positive relationships with students, staff, clients, and community members.
Exceptional organizational and time management skills with the ability to prioritize multiple tasks and meet deadlines.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
Experience with Orbund, Lead Management Systems, or similar student information systems is a plus.
Experience using QuickBooks or similar bookkeeping software is highly desirable.
Strong computer skills, including data entry, document management, and proofreading.
Excellent customer service and phone etiquette with experience handling multi-line phone systems.
Ability to maintain confidentiality and accuracy when handling sensitive information.
Bilingual skills are a plus.
