Overview

We are seeking a dynamic and highly organized Office Administrator to join our team! This vital role ensures the smooth and efficient operation of our office environment, providing exceptional support to staff, clients, and visitors alike. The ideal candidate will be energetic, detail-oriented, and possess a strong foundation in office management, clerical tasks, and customer service. Your proactive approach will help foster a productive workplace where everyone can thrive. Duties

Manage daily office operations, including overseeing office supplies, equipment, and maintenance requests
Serve as the front desk receptionist, greeting visitors and directing phone calls using multi-line phone systems with professionalism and courtesy
Handle data entry tasks accurately using spreadsheets, Microsoft Office applications, and Google Workspace productivity software
Maintain organized filing systems, both digital and physical, ensuring easy retrieval of documents
Coordinate calendar management and schedule appointments for staff and executives with attention to detail
Provide customer support by responding promptly to inquiries via phone or email, ensuring excellent client communication
Assist with bookkeeping activities such as invoicing and basic financial recordkeeping using QuickBooks or similar accounting software

Qualifications

Proven experience in office management or administrative roles with strong clerical skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
Strong computer literacy including data entry, proofreading, and document formatting
Exceptional phone etiquette with experience handling multi-line phone systems and client communication
Bilingual abilities are a plus to support diverse client needs
Previous experience in medical or dental reception is advantageous but not required; training will be provided for industry-specific tasks
Demonstrated ability to maintain confidentiality and handle sensitive information responsibly
