Full Job Description

We are looking for a bi-lingual (English and Russian) Front Office Administrator, with orthodontic specialty practice or dental experience preferred, to support and facilitate our growing team and practice! Your role is to create and maintain a pleasant and professional work environment ensuring high levels of organizational effectiveness, communication, and safety. Ultimately, this administrator should be able to ensure the smooth running of the office , help to improve company procedures, and day-to-day operation.

This a full time position where you'll need to be available to work during these hours:

Monday 8:15am-6:15pm, Tuesday-Friday 7:15am-5:30pm, and one Saturday a month 8:30am-1:30pm

Responsibilities may include:

Provide primary support to patients (to include answering phones, corresponding through email, scheduling appointments, etc.)
Serve as the point person for duties including: facility maintenance, mailing, supplies, equipment, bills, errands, shopping
Schedule meetings and appointments with team, providers, etc.
Maintain the office condition/professional presentation and arrange necessary repairs
Organize office operations and procedures
Coordinate with IT department on all office equipment
Manage office General and Administrative budget, ensure accurate and timely reporting
Assist in the onboarding process for new hires

Skills

Proven leadership experience as an Office Manager, Front Office Manager or Administrative Assistant
Knowledge of office administrator responsibilities, systems and procedures
Proficiency in MS Office (MS Excel and MS Outlook, in particular)
Excellent time management skills and ability to multi-task and prioritize work
Attention to detail and problem solving skills
Excellent written and verbal communication skills
Strong organizational and planning skills in a fast-paced environment
A creative mind with an ability to suggest improvements
High School degree or equivalent; additional qualification as an Administrative Assistant or Secretary will be a plus
Prior Dental Experience a Plus
Bilingual English/Russian Required
