Job Summary

We are seeking a dynamic and highly organized Office Manager to oversee daily administrative operations and ensure the smooth functioning of our office environment. This role is vital in maintaining efficient workflows, supporting team members, and providing exceptional customer service. The ideal candidate will possess strong organizational skills, technical proficiency, and a proactive attitude to manage office processes effectively. As an Office Manager, you will serve as the central point of contact for staff, clients, and visitors, fostering a welcoming and productive workplace.

Responsibilities

Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette.
Oversee office management tasks such as filing, data entry, and maintaining organized records using productivity software like Microsoft Office and Google Workspace.
Coordinate calendar management and schedule appointments for staff members and executives, ensuring efficient time management.
Handle bookkeeping responsibilities utilizing QuickBooks or similar accounting software to support basic financial tasks.
Provide customer support by addressing inquiries promptly and professionally, ensuring excellent service at all times.
Assist with clerical duties including proofreading documents, managing correspondence, and supporting administrative projects.
Support office supply inventory management and oversee maintenance of office equipment to ensure operational efficiency.

Qualifications

Proven experience in office management or administrative roles with a strong background in clerical work and customer service.
Demonstrated proficiency with computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and productivity software.
Experience with QuickBooks or other bookkeeping tools is highly desirable.
Excellent organizational skills with the ability to prioritize tasks effectively and manage multiple responsibilities simultaneously.
Strong communication skills in both English and bilingual capabilities preferred to serve diverse client needs.
Knowledge of multi-line phone systems, data entry procedures, filing systems, and calendar management tools.
Previous experience as a medical or dental receptionist or personal assistant is a plus; familiarity with phone etiquette and customer support best practices is essential.
