Full Job Description

Job Summary

Transene Company, Inc. is seeking a detail-oriented, highly organized Technical Order Administrator. This specialized role serves as the central hub of our operational flow —bridging the gap between initial customer interaction and the manufacturing floor. The ideal candidate will seamlessly handle high-volume inbound orders, manage complex regulatory and export shipping requirements, and follow-up across multiple company departments as required to direct our daily production workflow.

Core Responsibilities

1. Customer Service & Order Intake

Manage the complete end-to-end order intake process via digital channels or phone.
Process every customer order promptly and error-free to meet internal fulfillment goals.
Maintain data integrity by standardizing and organizing catalog and custom part numbers within the order management system.

2. Technical Service & Support

Serve as the primary point of contact for incoming technical customer phone calls and emails.
Provide baseline information on chemical product lines.
Screen and escalate highly complex technical inquiries or custom formulation requests to the appropriate manager.

3. Export Coordination & Logistics

Master the specific legal, logistical, and document-related nuances of exporting advanced materials globally.
Facilitate international shipping workflows at order entry, ensuring complete compliance with global customs protocols.
Optimize freight and carrier routing at order entry by strategically combining packages whenever applicable.

4. DEA & DOJ Regulatory Compliance

Proactively identify orders involving regulated chemicals or controlled substances monitored by the Drug Enforcement Administration (DEA) and Department of Justice (DOJ) and process according to the applicable regulations.
Maintain, organize, and retain accurate company licenses, customer registrations, and compliance logs according to strict federal guidelines.

5. General Labor

Participate in cross-departmental duties as needed (often needed when someone from another department is on vacation)

6. Batch Record & Work Instruction Management (future, maybe)

Issue detailed manufacturing batch records of existing products, integrating necessary variations for customized chemical blends.
Print and audit new batch records, distributing clean, accurate paperwork to the production floor.

Position Requirements

Education/Experience: Associate or Bachelor’s degree in Business Operations, Logistics, Chemistry, or a related technical field preferred; or 2–4 years of experience in technical order management, production planning, or manufacturing coordination.
Technical Aptitude: Comfortable navigating complex product catalogs, alphanumeric part numbers, and highly specific customer requests.
Extreme Attention to Detail: Proven ability to manage meticulous federal compliance files (DEA/DOJ) and technical documentation (batch records) where errors can cause serious safety or financial risks.
Software Skills: Proficiency with ERP/CRM databases, order entry software, and standard office suites (Excel, Word).
Communication Skills: Strong verbal and written communication skills to field professional inquiries from scientific/industrial buyers.

Pay: $26.00 - $30.00 per hour
