Working Maintenance Supervisor
Zindars Property Management LLC is a fast growing real estate management and development business. We are a fully licensed Illinois real estate company that offers brokerage, property management, and development services in east central Illinois. One division of our business handles property sales and leasing, rental maintenance and turnovers. We have a second division that redevelops property including commercial properties, apartments and single family homes. We primarily renovate apartment complexes and commercial properties. We are looking for the right team members to join our organization.
I’m looking to fill one position immediately which is for an experienced working maintenance supervisor. This is a full-time M-F position with on call weekends scheduled with other maintenance tech through a rotation. Pay range would be $28-$35 per hour based on work experience and certifications. Additional benefits including health insurance, paid holidays, sick leave, and vacation time is offered after a 90 day probationary period. Company vehicles are provided for maintenance technician work.
Position Overview:
We are seeking a highly organized and detail-oriented working Maintenance Supervisor to join our property management company. The Maintenance Supervisor will be responsible for coordinating and overseeing all maintenance and turnover activities for our managed properties working under the property manager to ensure timely completion of repairs and maintenance tasks. This role requires effective communication skills, excellent problem-solving abilities, and the ability to multitask in a fast-paced environment. The Working Maintenance Supervisor will play a key role in maintaining the overall functionality and appearance of our properties, ensuring tenant satisfaction and retention.
Core Responsibilities
Work Order Management
- Receive, prioritize, assign, and personally complete resident work orders across roughly 300 units.
- Meet response-time targets: emergencies same day, urgent items within 24 hours, routine items within 2–3 business days.
- Ensure every work order is documented in the work order system with photos, materials used, time on task, and completion notes before it is closed.
- Follow up on resident satisfaction and re-open callbacks; track and reduce repeat work orders.
Unit Turnovers (Make-Readies)
- Walk every unit at move-out, produce a turnover scope and cost estimate, and deliver it to the Property Manager within 48 hours.
- Plan, schedule, and execute turnovers — new flooring, paint, kitchen and bathroom updates, appliances, fixtures, cleaning, punch-out — to a defined rent-ready standard.
- Perform general electrical, plumbing, and HVAC repairs as needed during turns and day-to-day service.
- Hold turnover timelines: standard turns completed within the target number of days agreed with the Property Manager.
- Perform final rent-ready inspections and sign off before a unit is released for showing or move-in.
Team Supervision & Accountability
- Schedule and dispatch maintenance technicians; set daily job assignments with clear expectations for scope and time.
- Verify tech productivity: review time records against completed work orders daily, conduct spot checks at job sites, and confirm techs are where they are assigned during working hours.
- Enforce company time-and-attendance and conduct policies; document and address time misuse, unapproved personal errands, or outside work performed on company time, escalating to the Property Manager as needed.
- Train techs on repair standards, safety, and documentation; coach performance and participate in hiring and reviews as the team grows.
Vendors & Purchasing
- Obtain bids, schedule, and supervise contractors for work beyond in-house capability (roofing, major HVAC, sewer, etc.).
- Inspect and approve vendor work before invoices are approved for payment.
- Manage parts and materials purchasing within budget; maintain shop and truck stock with basic inventory controls to prevent loss.
Property Condition & Preventive Maintenance
- Build and run a preventive maintenance calendar (furnace/AC service, water heaters, gutters, smoke/CO detectors, seasonal items).
- Perform exterior and common-area inspections and correct safety hazards promptly.
- Support code compliance, city inspections, and Section 8/HQS inspections where applicable, including prep and re-inspection repairs.
On-Call & Emergencies
- Participate in and manage the after-hours on-call rotation for emergencies (no heat, active leaks, lockouts, sewer backups).
- Respond to weather events (frozen pipes, storm damage, snow/ice) and coordinate emergency vendor response when needed.
What You Must Bring
- 5+ years of hands-on residential maintenance experience, with at least 2 years in multifamily / property management maintenance OR equivalent depth as a lead technician ready to supervise.
- Strong working knowledge across plumbing, electrical, HVAC, appliances, drywall, paint, flooring, doors/windows, and general carpentry.
- Proven ability to run unit turnovers start to finish and estimate labor and materials accurately.
- Experience directing other techs or subcontractors and holding them to schedule and quality standards.
- Comfortable using a smartphone/tablet for work orders, photos, and time tracking.
- Valid driver’s license, insurable driving record, and own hand tools.
- Able to pass background check and drug screen; able to lift 50+ lbs, work on ladders, and work in occupied units professionally.
Preferred
- EPA 608 certification (Type II or Universal) for refrigerant work.
- Experience with property management software (AppFolio, Buildium, Rent Manager, or similar).
- Experience with Section 8 / HQS inspection standards.
- Basic boiler experience and locksmithing/rekeying.
Success Measures (First 12 Months)
- Work orders and average completion times consistently within targets.
- Turnover days per unit reduced to the agreed standard, with rent-ready quality signed off first time.
- Turnovers under budget per management requirements.
- Tech hours verifiably matched to completed, documented work — no unaccounted time.
- Callback/repeat work order rate declining quarter over quarter.
- Preventive maintenance calendar built and running for the full portfolio.
Our primary schedule is 8:00-5 Monday through Friday. You will manage and oversee on call availability for emergencies and coordinate with property manager to ensure all emergency work orders are completed in a timely manner.
We are based out of Danville, IL so most work would be within 30 minutes. Looking for a team player that is willing to do whatever it takes to get the job done and has a flexible work schedule. Background check and drug testing is required for employment. There is an initial 90 day probationary period for any new employees. Benefit Conditions:
