Full Job Description

At Bob Allen Collision Center, we are a trusted leader in the collision repair industry, providing high-quality auto body repair services to our community. We pride ourselves on our dedication to customer satisfaction and our commitment to excellence. We are currently seeking a highly organized and motivated Administrative Assistant to join our team and support the daily operations of our busy collision repair facility.

Position Overview: As an Administrative Assistant, you will play a key role in ensuring the smooth and efficient operation of our shop. You’ll provide vital administrative support, assist customers, handle paperwork, and coordinate communication between departments and insurance providers. This is an excellent opportunity for a detail-oriented individual who enjoys multitasking and thrives in a fast-paced environment.

Key Responsibilities:

Answer phone calls, emails, and other customer inquiries in a friendly and professional manner.
Greet customers and direct them to the appropriate personnel or departments.
Schedule appointments and manage the shop’s daily calendar, ensuring proper flow of work.
Assist customers with intake forms, insurance paperwork, and vehicle repair estimates.
Maintain accurate records of repair orders, parts inventory, and job progress.
Process billing, invoices, and payments, and ensure all financial records are up-to-date.
Coordinate with insurance adjusters and customers to schedule vehicle drop-offs and pickups.
Handle general office tasks such as filing, organizing documents, and maintaining office supplies.
Ensure the facility’s office area is clean, organized, and welcoming to clients.

Qualifications:

Proven experience as an administrative assistant, office manager, or in a similar administrative role (experience in the automotive or collision repair industry is a plus).
Strong communication skills—both written and verbal.
Excellent organizational skills and attention to detail.
Proficiency with Microsoft Office Suite (Word, Excel, Outlook).
Ability to multitask, prioritize, and manage time effectively.
Professional and friendly demeanor, with a customer-focused attitude.
Experience with billing, invoicing, and basic financial reporting.
Ability to handle sensitive information with discretion and confidentiality.
High school diploma or equivalent; additional office administration training or certifications are a plus.
