Facilities Manager Job Description
Job Summary:
Saddlebag Lake Owners Association (SLOA) is a gated 55+ HOA community in Central Florida seeking an experienced Facilities Manager to lead the operation, maintenance, and management of all community facilities and infrastructure. This position is responsible for overseeing buildings, grounds, equipment, utilities, and the community's water and sewer systems in coordination with the Community Association Manager (CAM). The Facilities Manager ensures that all facilities remain safe, fully operational, and compliant with applicable codes and regulations. In addition, this role provides leadership, training, and supervision for all SLOA personnel, manages contractor and vendor relationships, and oversees the performance of third-party service providers. Success in this position requires close collaboration with the CAM through regular communication and active involvement in all facilities-related operations and projects. This HOA community has approximately 800 homes and 1300 residents.
Leadership:
The Facilities Manager provides direct leadership and oversight of the SLOA Maintenance Department, Custodial Staff and Administrative staff while serving as a trusted advisor to the SLOA Board of Directors. This role is responsible for building, developing, and leading a high-performing team by fostering a positive work environment, promoting professional growth, and setting clear expectations through effective coaching, mentoring, and leadership by example.
Level of Authority:
The Facilities Manager performs the responsibilities of this position with a high degree of independence, operating under the general direction of the SLOA Board of Directors and in coordination with the Community Association Manager (CAM), as defined by applicable licensing requirements and contractual agreements. This role is responsible for ensuring compliance with SLOA policies and standard operating procedures, as well as all applicable local, county, state, and federal regulations. The Facilities Manager works closely with the CAM to coordinate facilities-related operations, projects, and personnel activities, and is authorized to approve purchases and expenditures within limits established by the SLOA Board of Directors and approved budgets.
Abilities and Skills Needed:
- Experience in and working knowledge of plumbing, electrical, landscaping, irrigation, and/or construction.
- Strong ability to lead, track and effectively manage capital improvement projects, contracts/vendor management and corresponding logistics within a prescribed budget.
- Able to procure fiscally sound contracts while leading and actively participating in projects that are done on site with corresponding staff.
- Strong ability to maintain a team environment and positively communicate with residents, staff and Board.
- Technologically adept to utilize and assess systems for building and grounds repairs and monitoring, security systems, resort entry systems, and sound and video systems through apps, websites and other areas as applicable.
- Ability to lead, supervise, train, and develop staff while fostering a positive, collaborative, team-oriented work environment and hold regular staff meetings.
- Ability to evaluate operations, develop policies and procedures, streamline processes, and implement strategies that improve efficiency, service quality, organizational performance and safety.
- Working knowledge of applicable federal, state, OSHA, and local codes, regulations, safety requirements, and industry standards related to facility planning, construction, maintenance, operations and emergency repairs.
- Knowledge of mechanical equipment, construction materials, repair techniques, preventive maintenance, and facility operations to include water and sewer systems.
- Ability to inspect facilities, assess conditions, troubleshoot routine and emergency repairs, maintain equipment, and recommend and/or perform appropriate repair or replacement solutions.
- Strong decision-making skills and sound judgment in administrative, operational, safety, and procedural matters.
Job Duties:
1. Plan, coordinate, and manage preventive, routine, and emergency maintenance activities involving multiple trades, including the maintenance, repair, renovation, and upkeep of community buildings, infrastructure, water and wastewater systems, mechanical systems, and grounds.
2. Direct and oversee the daily operations of the Facilities, Custodial, Administrative and in house Patrol teams, ensuring compliance with SLOA policies, and all applicable local, state, and federal regulations.
3. Develop, implement, and continuously improve policies, procedures, and operational practices that promote efficiency, safety, regulatory compliance, and high-quality service throughout the community.
4. Manage contractor, vendor, and supplier relationships, including procurement, performance monitoring, cost control, and quality assurance to ensure services are delivered in accordance with contract requirements and industry standards.
5. Monitor and manage departmental budgets, expenditures, purchasing activities, and project costs to ensure fiscal responsibility and adherence to approved financial plans.
6. Lead and positively supervise staff, including participation in recruitment, training, performance management, work assignment, employee development, corrective action, and conflict resolution, in coordination with the Community Association Manager (CAM).
7. Develop and manage work schedules and staffing assignments to ensure adequate coverage and efficient utilization of maintenance personnel and resources.
8. Assist with facility planning, space utilization, and capital improvement initiatives, and provide recommendations to the Board of Directors and CAM regarding facility-related needs and priorities.
9. Oversee the proper use, care, maintenance, and replacement of equipment, tools, vehicles, and supplies, while promoting continuous improvement in workplace safety, operational effectiveness, and environmental stewardship.
10. Support emergency preparedness, storm response, disaster recovery, and business continuity efforts, including coordination of personnel, contractors, and resources during emergency events.
11. Provide regular updates, recommendations, and updates to the Board of Directors and CAM regarding facility conditions, maintenance activities, projects, budgets, and overall operational performance.
12. Perform other duties and special projects as assigned in support of SLOA's operational and strategic objectives.
Position Prerequisites:
- 3-5 years experience or certificate/degree in trade, professional, technical and/or equivalent related functions
- Knowledge of OSHA and environmental regulations, related safety certification(s) encouraged
- Knowledge of general maintenance methods, operating requirements, and safety procedures related to facilities management
- Commitment to maintaining a positive, respectful and collaborative work environment
- Strong communications skills
- Pool certification or commitment to secure within 180 days of hire
- Successful background check required as condition of employment
- Workload is 85% in the field and 15% related processes
Position Compensation / Benefits
Salary Exempt Position – Salary range $65,000 to $75,00 dependent upon qualifications and experience
