Front Office Coordinator – Hair Restoration Practice (Full-Time)

Location: Fort Lauderdale, FL

Hair by Dr. Max Restoration Center is a physician-led practice specializing in advanced hair restoration. We’re looking for a polished, organized, and patient-focused Front Office Coordinator to support our day-to-day operations and deliver an exceptional experience from the first call to the final follow-up.

This role is ideal for someone with experience in a dermatology, plastic surgery, med spa, or hair restoration environment who enjoys patient communication, scheduling, and supporting consultations in a fast-paced clinical setting.

Key Responsibilities (Front Office)

Greet patients and manage check-in/check-out, ensuring a welcoming and professional experience
Answer incoming calls, respond to inquiries, and schedule appointments efficiently
Call and follow up with incoming leads to answer initial questions and convert inquiries into scheduled consultations
Coordinate consultations and support patient flow throughout the day
Support hair restoration consultations by capturing high-quality before/after photos and microscope scalp images
Maintain accurate documentation and patient records in the EMR system
Assist providers during consultations as needed (non-procedural support)
Maintain a clean, organized, and compliant front office and patient environment
Collect and process all patient payments (consultation fees, deposits, balances, product purchases), issue receipts, and reconcile totals as needed
Assist with administrative tasks such as confirmations, follow-ups, and general office coordination

Qualifications

1+ year experience in a Dermatology, Plastic Surgery, Med Spa, or Hair Restoration setting required
2+ years experience in the above settings preferred
Strong communication and customer service skills (in person + phone)
Highly organized with excellent attention to detail
Comfortable taking standardized clinical photos and using basic imaging tools
Proficient with EMR systems and scheduling software
Professional, dependable, and team-oriented

Schedule

Monday–Friday, 8:30 AM – 5:00 PM (30-minute lunch)

Compensation

Hourly pay (commensurate with experience)
