Job Description:

The Administrative Assistant will play a dual role in providing high-level administrative support to advisors and delivering outstanding client service. This position requires exceptional organizational skills, attention to detail, and a proactive approach to client interactions and operational tasks.

We specialize in total wealth management including estate and long-term care planning. We are seeking a highly organized and client-focused Administrative Assistant/Customer Service Specialist in our Troy office to support our advisor team and enhance the client experience.

Key Responsibilities:

Client Service & New Account Support:

Assist clients with new account openings, ensuring all necessary documentation is collected and processed efficiently.
Address client service needs, responding to inquiries, resolving issues, and providing a high level of support.
Coordinate and schedule client meetings, ensuring a seamless and professional experience.
Support financial advisors with client onboarding, account maintenance, and general service requests.
Ensure timely follow-ups and proactive communication to enhance client relationships.

Qualifications:

Proven experience as an Administrative Assistant and/or Customer Service Specialist, preferably within the financial services or investment industry.
Strong proficiency in Microsoft Office Suite (Excel, Word, Outlook) and CRM software.
Knowledge of financial industry regulations and account opening procedures is a plus.
FINRA licenses (e.g., Series 7, 63, or 66) are a plus but not required.
Exceptional organizational and time-management skills.
Strong attention to detail with the ability to multitask efficiently.
Excellent written and verbal communication skills.
Ability to maintain confidentiality and handle sensitive information with discretion.
