Dental Operations Manager

ABOUT FIVE RIVERS HEALTH CENTERS

Five Rivers Health Centers is an expanding Federally Qualified Health Center (FQHC) providing a medical home for low-income patients in Dayton and Xenia, Ohio. We provide quality medical, dental, vision, and behavioral healthcare to over 27,000 patients with more than 90,000 visits annually at our six convenient locations.

Position Overview

The Dental Operations Manager will support the mission and vision of Five Rivers Health Centers by managing the clinical and operational processes at each dental office location with the goal of maximizing patient access to care while increasing revenue.

General Responsibilities

Optimize provider schedules to maximize patient access and revenue; resolve scheduling conflicts and manage staffing needs.
Partner with Central Scheduling and Patient Access to correct scheduling and registration issues.
Monitor daily patient flow, identify barriers, and implement solutions.
Oversee clinical and operational efficiency in each dental department to maximize chair time and support a strong patient experience.
Manage the prior authorization process to ensure timely, accurate submissions and appropriate scheduling.
Assess and maintain staff clinical competencies, ensuring work is performed at the top of licensure.
Oversee staff time and attendance, including time‑off approvals, timecard review, and adherence to policies.
Conduct performance reviews and use corrective action as needed to coach and improve performance.
Delegate and oversee tasks such as spore testing, sterilization, and prior authorizations.
Ensure compliance with credentialing requirements, including CPR certification.
Provide front-desk support to remove barriers to patient access.
Lead regular staff meetings to share updates and discuss challenges and successes.
Participate in management meetings and address operational issues promptly.
Resolve patient complaints in a timely and effective manner.
Provide ongoing staff training and maintain personal technical and operational skills.
Monitor supply levels, manage purchasing within budget, and ensure departments are properly stocked.
Oversee medication handling, including auditing, inventory control, cost review, and removal of expired medications.
Monitor medication dispensing units and resolve discrepancies.
Monitor preventive equipment maintenance and coordinate repairs or replacements.
Coordinate the safety program for the department.
Track Dental Quality outcomes, identify barriers, and collaborate with staff on improvement strategies.
Communicate key performance indicators to staff.
Act as a resource for Epic and Dentrix Enterprise and serve as liaison to IT.
Handle escalation of dental billing issues with appropriate departments.
Work with leadership on annual budget preparation and ongoing monitoring.
Review monthly budget performance and manage staffing, supplies, and equipment within guidelines.
Ensure proper handling of medical information releases.
Monitor and manage Dentrix Enterprise system access, including updating permissions and inactivating separated employees.
Review and update departmental policies and procedures, ensuring consistency across the organization.

Qualifications

High school diploma or equivalent required. Associate's degree in healthcare or business preferred.
Demonstrated successful supervisory experience of 1-2 years preferred.
MS Office proficiency required.
Medical terminology knowledge preferred.
