Practice Overview

Bloom Family Eye Surgeons through its owned and affiliated practices is a leading provider of comprehensive medical and surgical eye clinic in Ohio. As a physician-led and physician-owned, we offer complete medical eye examinations by specialists in the field of ophthalmology, including the diagnosis, management and treatment of eye diseases. Our Optometric Eye Clinic offers the diagnosis, management and treatment of a wide range of eye diseases, including a wide range of eyewear.

Position Summary

The Call Center Representative serves as one of the primary points of contact for patients and provides a positive first impression of Bloom Family Eye Surgeons. This position is responsible for delivering exceptional customer service while handling a high volume of inbound calls in a fast-paced call center environment. Responsibilities include scheduling appointments, answering patient inquiries, maintaining accurate patient information, coordinating with providers and staff, and completing clerical and administrative tasks to support efficient patient care and office operations.

Essential Duties and Responsibilities

Answer a high volume of incoming calls professionally, courteously, and efficiently.
Provide exceptional customer service while assisting patients with scheduling, general questions, and requests.
Schedule, reschedule, and cancel patient appointments according to physician templates and office protocols.
Complete timely follow-up on patients requiring scheduling or rescheduling.
Verify and update patient demographic and insurance information.
Accurately document patient communications and scheduling notes in the electronic health record.
Utilize NextGen electronic health record (EHR) to schedule appointments, manage work queues, and research patient information.
Initiate and process new patient paperwork and related documentation.
Communicate physician schedule changes to patients and appropriate staff.
Coordinate with providers, clinical staff, and other departments to ensure accurate scheduling and continuity of patient care.
Communicate professionally with referring providers and their staff regarding appointment availability, required documentation, and scheduling needs.
Respond to patient concerns with professionalism and escalate issues appropriately when necessary.
Maintain accuracy while working in a fast-paced, high-volume environment.
Protect patient privacy and maintain strict compliance with HIPAA and all applicable confidentiality requirements.
Perform other administrative or clerical duties as assigned.

Qualifications

High school diploma or equivalent required.
Minimum of two years of customer service, call center, medical office, healthcare scheduling, or related experience preferred.
Previous healthcare scheduling experience preferred.
Experience using electronic health record systems, preferably NextGen, is preferred.
Knowledge of medical terminology and insurance verification is preferred.
Strong verbal and written communication skills.
Excellent customer service and interpersonal skills.
Strong organizational skills and attention to detail.
Ability to prioritize multiple tasks and adapt to changing priorities.
Strong problem-solving skills and sound judgment.
Ability to work independently and as part of a team.
Proficiency with computers, Microsoft Office, and standard office equipment.

Physical Requirements

Prolonged periods of sitting and working at a computer.
Frequent use of a telephone and headset.
Ability to communicate clearly by phone and in person.
Occasionally lift and carry up to 20 pounds.
