Job Summary

We are seeking a dynamic and highly organized Business Office Manager to lead our administrative and financial operations. In this pivotal role, you will oversee office management, coordinate vendor relationships, manage financial processes, and support team development. Your energetic approach will ensure smooth daily operations, foster a positive work environment, and uphold the highest standards of confidentiality and professionalism. This position offers an exciting opportunity to utilize your diverse skill set in a fast-paced, collaborative setting dedicated to excellence.

Responsibilities

Manage daily office operations, including front desk supervision, multi-line phone systems, and calendar management to ensure seamless communication and scheduling.
Oversee bookkeeping, accounting, and financial software and other accounting tools to maintain accurate records and support budgeting efforts.
Coordinate vendor management activities, including negotiating contracts, processing payments, and maintaining professional relationships to optimize service delivery.
Supervise administrative staff and provide training & development opportunities to enhance team performance and foster a collaborative environment.
Handle human resources functions such as payroll processing, employee onboarding, record keeping for confidential information, and supporting HR initiatives.
Organize events and meetings through detailed planning, logistics coordination, and ensuring all necessary resources are available for successful execution.
Maintain meticulous filing systems, manage office supplies inventory, and perform clerical tasks such as data entry, document preparation, and client communication with professionalism.

Skills

Proven experience in office management with strong organizational skills and attention to detail.
Proficiency with Microsoft Office Suite (Word, Excel, Outlook) along with spreadsheets for data analysis and reporting.
Skilled in bookkeeping, accounting practices, budgeting, and financial software including QuickBooks or similar platforms.
Demonstrated supervisory experience with the ability to lead teams effectively while fostering a positive work environment.
Excellent communication skills—both verbal and written—with a focus on client service and professional phone etiquette.
Ability to handle confidential information discreetly while maintaining high standards of accuracy in record keeping.
Strong multitasking abilities with experience managing schedules, vendor relationships, and administrative projects simultaneously.
