Job Overview

We are seeking a proactive and organized Office Assistant to join our dynamic team! In this vital role, you will be the backbone of our daily operations, ensuring the office runs smoothly and efficiently. You will handle a variety of clerical tasks, manage communications, and support administrative functions with enthusiasm and professionalism. Responsibilities

Manage front desk activities, including greeting visitors, answering multi-line phone systems, and directing calls with excellent phone etiquette
Perform data entry and maintain accurate records using spreadsheets and productivity software such as Microsoft Office applications, Quickbooks, Therap and ADIDIS.
Handle filing, document proofreading, and general administrative support to keep office operations organized and efficient
Assist with calendar management, scheduling appointments, and coordinating meetings for team members or clients
Support customer service efforts by providing prompt assistance and clear communication via phone or email
Utilize computer skills to update databases, prepare reports, and manage correspondence with clients and vendors
Maintain office supplies inventory, organize files, and ensure the workspace remains tidy and functional

Experience

Previous office experience or administrative support roles demonstrating strong organizational skills and multitasking abilities
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with familiarity with spreadsheets and data entry tasks
Experience handling multi-line phone systems, client communication, and front desk responsibilities
Bilingual ability is a plus for effective communication with diverse clients or team members
Demonstrated computer literacy with technical proficiency in productivity software and general office equipment
Strong organizational skills combined with excellent time management to prioritize tasks efficiently
Personal assistant or clerical experience that highlights professionalism, attention to detail, and customer service excellence
