ABOUT THE ROLE
The Administrative Assistant is a full-time, cross-functional support role reporting to the Director of Operations. This person keeps the day-to-day running smoothly by supporting leadership across administrative functions — from HR coordination and scheduling to travel arrangements and general office operations. It's a true catch-all position for someone who's organized, adaptable, and energized by variety, jumping in wherever the team needs a hand.
RESPONSIBILITIES
- Provide administrative support to leadership across departments
- Assist with HR functions such as onboarding paperwork, recordkeeping, and coordinating interviews
- Manage scheduling for leadership, including meetings, appointments, and facility-wide calendars
- Coordinate travel arrangements, including booking flights, hotels, and itineraries
- Maintain organized filing systems for administrative, HR, and operational documents
- Draft, proofread, and distribute internal communications and correspondence
- Order and manage office and facility supplies
- Assist with planning and coordinating company events and meetings
- Answer phones, greet visitors, and serve as a point of contact for general inquiries
- Take notes and track action items during leadership meetings
- Assist other departments with administrative tasks as priorities shift
- Maintain confidentiality with sensitive employee and company information
- Promote teamwork, communication, and collaboration
- Maintain an environment of professionalism, dignity, transparency, and respect
MINIMUM QUALIFICATIONS
- 2+ years of administrative or executive support experience
- Associate's or Bachelor's degree preferred
- Strong organizational skills with the ability to manage multiple priorities
- Excellent written and verbal communication skills
- Proficiency with Google Workspace (calendar, email, docs, spreadsheets)
- Discretion when handling confidential HR and business information
- Comfort working across departments and adapting to shifting priorities
- Experience coordinating travel logistics a plus
- Prior exposure to HR processes (onboarding, recordkeeping) a plus

SCHEDULE
Full-time, Monday–Friday, 8:00 AM – 4:00 PM. Additional hours may occasionally be required depending on business needs.
