Job Overview
We are seeking an energetic and professional Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support administrative functions to ensure smooth daily activities. Your positive attitude and organizational skills will help create a welcoming environment for clients, visitors, and team members alike. This paid position offers an exciting opportunity to develop your office management skills while contributing to a dynamic team.

Responsibilities

Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
Answer multi-line phone systems efficiently, directing calls accurately and professionally
Manage appointment scheduling and calendar coordination using productivity software and calendar management tools
Handle data entry tasks with precision, maintaining accurate records in spreadsheets and databases
Perform clerical duties such as filing, proofreading documents, and managing correspondence
Support office management by organizing supplies, maintaining filing systems, and overseeing general administrative tasks
Utilize computer skills including Microsoft Office applications (Word, Excel) to prepare reports and documents
Provide customer support by addressing inquiries courteously and resolving issues promptly
Maintain a clean and organized front desk area to promote a professional environment
Assist with personal assistant responsibilities as needed, including task prioritization and time management

Qualifications

Proven office experience with strong clerical skills and familiarity with office management procedures
Excellent computer literacy, including proficiency in Microsoft Office (Word, Excel), spreadsheets, and data entry software
Experience with multi-line phone systems and phone etiquette is essential
Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members
Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
Demonstrated customer service excellence with excellent communication skills for client interaction
Technical proficiency in office productivity software such as Word processing, spreadsheets, and calendar management tools
Prior experience in front desk or administrative roles is preferred but not required; training will be provided for the right candidate
Ability to handle sensitive information discreetly while maintaining professionalism at all times
