Administrative Assistant

Location: Decatur, TX
Work Arrangement: Onsite
Schedule: Monday–Friday | 7:00 AM–3:30 PM
Employment Type: Full-Time
Training/Meeting Location: Fort Worth, TX

Position Overview

We are seeking a dependable and detail-oriented Administrative Assistant to provide administrative and document support at a service center in Decatur, TX. The primary focus of this position will be sorting, reviewing, filing, and maintaining records and documents, along with providing general administrative support to managers and their teams.

During the initial training period, the Administrative Assistant will primarily work in Decatur but must be able to travel to the Fort Worth location approximately 1–2 days per week for training and meetings. Once fully trained, the position is expected to be based in Decatur approximately 99% of the time.

The ideal candidate is highly organized, accurate, proactive, and comfortable working independently with minimal supervision.

Key Responsibilities

Sort, review, organize, file, and maintain documents and departmental records.
Ensure documentation is complete, accurate, and properly recorded.
Provide administrative support to multiple managers and their teams.
Maintain calendars, coordinate meetings, and schedule conference rooms and equipment.
Process invoices and maintain organized departmental files and records.
Receive and distribute incoming mail and documentation.
Prepare correspondence, including letters and memos, with general direction.
Gather, compile, organize, and summarize information for projects and special assignments.
Process purchasing card statements, travel cards, miscellaneous invoices, and time reporting.
Coordinate travel arrangements as needed.
Order and maintain office supplies for multiple groups.
Prepare weekly, monthly, and quarterly reports accurately and within established deadlines.
Coordinate and organize meetings and departmental activities.
Record meeting minutes, including action items and responsible parties, and distribute information to attendees.
Assist other administrative professionals and executive offices when requested.
Participate in special projects and additional administrative assignments as needed.

Required Qualifications

High school diploma or GED.
At least 3 years of administrative, secretarial, or office support experience.
Strong organizational and document-management skills.
Excellent attention to detail with a focus on accuracy.
Ability to communicate clearly, professionally, and constructively, both verbally and in writing.
Ability to prioritize responsibilities and manage multiple assignments.
Comfortable working independently with minimal supervision.
Proficiency with Microsoft Office applications, including:
- Word
- Excel
- PowerPoint
- Outlook
Ability to travel between the Decatur and Fort Worth locations during the initial training period.

Preferred Qualifications

Experience with Microsoft Access.
Previous experience supporting multiple managers or departments.
Experience with document review, records management, filing, invoice processing, or administrative reporting.
Familiarity with corporate policies, procedures, and service-center operations.
